About The Position

8Fleet is hiring! We're a fast-growing, LA-based technology and logistics startup building the operational infrastructure for both autonomous and non-autonomous rideshare fleets. We're building our Talent Acquisition team from the ground up, and we're looking for driven, passionate people to help shape it. As one of the founding members of our Talent Acquisition team, you'll be the first person at 8Fleet dedicated to candidate experience. As our hiring engine continues to scale, we want every candidate to get the experience top talent expects: thoughtful, responsive and well run from first interview to offer. As our Recruiting & Candidate Experience Coordinator, you'll own how candidates move through our process. That means running scheduling, hosting candidates onsite, and making the experience better as we grow. You'll work closely with our founders, EAs and teams across the company, and partner with hiring managers every day to keep each search moving. You'll bring a systems mindset to how we hire, and help shape onboarding so the experience carries through from offer to day one. Requirements

  • 2+ years as a recruiting coordinator in a fast-paced, high-volume environment (required).
  • Hands-on experience with Ashby (required).
  • Advanced Google Calendar skills, including managing multi-interviewer panels and coordinating multiple calendars simultaneously (required).
  • Comfort using AI tools like Claude and AI recruiting tools like Metaview.
  • Experience running onsite interviews and a strong eye for improving the candidate experience.
  • A systems mindset: you enjoy building repeatable processes and optimizing the integration of tools.
  • Clear, warm communication with candidates and direct follow-through with hiring teams.
  • Discretion with confidential candidate information.

Responsibilities

  • Own interview scheduling in Ashby and Google Calendar, coordinating candidates, hiring managers and panels across markets and time zones.
  • Handle reschedules quickly and keep candidates and interviewers informed when plans change.
  • Ensure details are correct for every interview, including interviewers, links, locations, prep materials and timing.
  • Send and track NDAs and pre-interview paperwork so candidates are ready before they arrive.
  • Run onsite interviews start to finish: prep the day, greet candidates, and lead tours of our offices and lots.
  • Identify areas where the process is slow or confusing and implement improvements.
  • Manage candidate experience surveys, track results, and translate feedback into actionable changes.
  • Keep candidates updated at every stage, ensuring no one goes more than a week without hearing from us.
  • Partner with the People team on onboarding initiatives to ensure a positive new hire experience from offer to day one.
  • Maintain Ashby hygiene, including updating candidate stages, interview records, and scorecard reminders.
  • Utilize AI tools such as Claude and Metaview to reduce administrative time, develop more efficient workflows, and ensure hiring teams are well-prepared.
