About The Position

The Villages Community Development Districts (The District) is seeking a full-time Recreation Supervisor to join their Recreation & Parks team. This position requires a solid background of advanced customer service skills, commitment, a passion for excellence, and a drive for accuracy. Requirements

  • Bachelor’s Degree or four years related experience and/or training, or equivalent combination of education and experience in recreation, physical education, event management.
  • CPR/AED training.
  • Valid Florida Driver’s License required.
  • All candidates and employees must successfully pass background screening.
  • Demonstrates knowledge of all recreation centers clubs, leagues and recreational activities, lifestyle/special events and be present and accessible to ensure optimal customer service.
  • Ability to add, subtract, multiply and divide in all units or measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, percentage, and to draw and interpret bar graphs.
  • Proficient in personal computer skills including electronic mail, recordkeeping, routine data base activity, word processing, spreadsheets, graphics, etc.
  • Excellent written and verbal communication skills, as well as a professional appearance and demeanor.
  • Strong work ethic and commitment to providing optimal customer service.
  • Well organized and able to successfully prioritize responsibilities in a fast-paced environment to meet multiple demanding deadlines.

Responsibilities

  • Provides daily oversight and supervision in the assigned area.
  • Ensures optimum customer experience in all interactions.
  • Provides a friendly, welcoming atmosphere that encourages residents and guests to participate in recreation activities and promotes a safe, hospitable recreation environment.
  • Builds a working rapport with clubs, staff, and event contacts to ensure Recreation and Parks Department and District policies conformance by following the required protocols and procedures.
  • Assists in answering telephone calls related to assigned facility/area.
  • Keeps current with District and Department policies and changes/updates.
  • Travels to other Recreation locations at the Department’s request due to business needs.
  • Performs duties after hours and on weekends; may be required to work on-call, Global Events, Enrichment Academy Events, as assigned by the manager, etc.
  • Creates, tracks, and updates department surveys as needed.
  • Handles conflicts and complaints and works towards a successful resolution with residents, customers, and staff.
  • Routinely reviews websites for accuracy.
  • Proficient in the use of department software.
  • Familiar with all department guidelines, including RLVG and Facility.
  • Knowledgeable of all aspects of facilities, including opening, operations, and closing procedures.
  • Assists in the required setup, breakdown, and inspection of facilities within the timeframe necessary to meet specific event requirements.
  • Interacts and coordinates cooperatively with the Maintenance, Special Events, and Entertainment departments, the media, The Enrichment Academy, and resident lifestyle volunteer groups to ensure policies are practiced consistently with all aspects of events and programming.
  • Accepts requests for all new RLVGs, researches needs, and facility availability and creates permits if approved.
  • Interacts with existing resident volunteers on contract renewals and guidelines, educating and informing groups to ensure policies and best practices are consistently followed in all activities.
  • Designs and prepares computerized room layouts for scheduled events and club meetings, interacting with event representatives to ensure their satisfaction.
  • Instructs verbally and through demonstrations individuals and/or groups in lessons and rules and regulations of sports activities as needed.
  • Plans, implements and evaluates recreational programs and resident activities within budget, including, but not limited to, global events, recreation socials, expos, and other special events.
  • Registers residents and guests in Recreation Software for lifestyle events/socials.
  • Assists customers in all aspects of The Enrichment Academy program, including registration, refunds, questions, walk-in requests, phone calls, online registration assistance, website information, and waitlist monitoring.
  • Provides assistance and direction to all instructors/speakers, including accessing their online portal, setting up curriculum events, updating contact information, guidelines, and expectations.
  • Assists with organizing and overseeing Expos and special events for The Enrichment Academy.
  • Assists in the catalog, publication review, and proofreading for The Enrichment Academy.
  • Assists with all aspects of facility reservations for various customers, including residents and non-residents.
  • Facilitates all aspects of recreation leagues and other sporting events; including but not limited to setup, sign ups, activity counts, non-compliance, schedules, communication, and participation.
  • Understands running a tournament, including setting up registration, monitoring registration, roster management, purchasing supplies/awards, creating brackets/schedules, filling out brackets/recording results, and conducting post-tournament reviews.
  • Follows the required ID protocol for residents and/or guests by checking and recording all resident IDs and guest passes upon entrance to facility and at scheduled events using scanner and/or manual count methods.
  • Follows District incident reporting protocols for all incidents related to self, residents, and/or guests.
  • Abides by cash handling procedures for assigned areas, including cash collections, issuing refunds, maintaining reports, change funds, security deposits, and activity registrations.
  • Maintains recordkeeping/data entry, manually or via computer, as directed and within designated timeframes.
  • Performs monthly maintenance checks on facilities as assigned.
  • Maintains inventory and orders equipment and supplies weekly, monthly, and yearly.
  • Monitors and processes all requested forms to the appropriate party on time.
  • Processes all receipts/expenditures and credit card transactions weekly.
  • Supervises staff and volunteers in assigned areas.
  • Creates staff schedules based on needs in assigned areas.
  • Reviews/approves timecards to verify accuracy.
  • Performs yearly performance evaluations of staff.
  • Conducts staff training in assigned areas, including computers and District policies and procedures.
  • Assists staff with all daily tasks, questions, and concerns.
  • Conducts routine staff meetings with staff in assigned areas.
  • Maintains inventory, routine maintenance, and safety inspections of recreation facilities and equipment.
  • Complies with District Fleet Management Policy.
  • Demonstrates proficiency in using all recreation equipment including sports equipment, lighting and sound equipment, LED projectors, A/C regulators, scoreboards, etc.
  • Assists in minor repairs and equipment maintenance as directed within the designated timeframe.
  • Performs other duties as assigned.
  • Performs special projects as assigned.
  • May be expected to perform additional duties in an emergency.
