About The Position

Join Associa as a Recreation Coordinator and contribute to the efficient operations of our growing portfolio. We are seeking a dedicated individual to provide essential administrative support to our property management team. Our Recreation Coordinator is responsible for the day-to-day administration, scheduling, and oversight of the community's shared amenities to ensure they are well-organized, accessible, and maintained in accordance with cooperative policies. This position serves as the primary point of contact for residents regarding amenity reservations, registrations, permits, and related communications while working closely with management, maintenance staff, security, and vendors.

Requirements

  • High school diploma or equivalent required
  • Minimum 2 years of administrative, customer service, or property management experience.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and property management software.
  • Ability to maintain accurate records and manage multiple priorities.
  • Strong customer service and problem-solving abilities.
  • Excellent attention to detail.
  • Ability to work independently while collaborating with management and staff.
  • Professional demeanor when interacting with residents, Board members, vendors, and contractors.
  • Ability to interpret and apply community rules and policies consistently.
  • Ability to handle confidential information with discretion.
  • Ability to move throughout the property to inspect amenities.
  • Occasionally lift up to 25 pounds.
  • Ability to sit, stand, walk, and use standard office equipment for extended periods.

Nice To Haves

  • Associate's or bachelor's degree preferred.
  • Experience in residential community, condominium, homeowners association, or cooperative housing management preferred.

Responsibilities

  • Manage resident registration and scheduling for community amenities, including swimming pool registration and seasonal access, tennis and pickleball court reservations, bike room assignments and waitlists, storage unit assignments and inventory, parking permits, garage spaces, visitor parking, and waitlists, and additional amenities as assigned.
  • Maintain accurate records of assignments, reservations, and resident eligibility.
  • Coordinate seasonal openings and closings of amenities.
  • Ensure compliance with cooperative rules, policies, and occupancy limits.
  • Respond to resident inquiries regarding amenity availability, policies, and procedures.
  • Process applications, registrations, transfers, and cancellations.
  • Communicate schedules, deadlines, rule changes, and seasonal announcements.
  • Resolve routine resident concerns and escalate complex issues to management when appropriate.
  • Coordinate with maintenance staff to ensure amenities are clean, safe, and operational.
  • Report maintenance issues and follow up to ensure timely resolution.
  • Assist in coordinating vendor access for amenity-related services.
  • Monitor amenity usage and recommend operational improvements.
  • Maintain accurate databases, spreadsheets, and electronic records.
  • Track parking assignments, storage availability, bike room occupancy, and amenity utilization.
  • Prepare periodic reports for management regarding occupancy, waitlists, usage trends, and resident requests.
  • Maintain confidentiality of resident information.
  • Enforce cooperative policies governing the use of amenities in a professional and courteous manner.
  • Assist with implementation of Board-approved policies and procedures.
  • Ensure required waivers, registrations, and documentation are completed before granting amenity access.
