About The Position

Work collaboratively as part of the Community Programs and Services team to plan, coordinate, implement, and evaluate adult recreation programs, events, and community activities from concept through completion. Coordinate program and event logistics, including preparation, on-site operations, participant support, and follow-up. Monitor programs, facilities, and event sites to promote safety, accessibility, and quality programming. Build relationships with participants, partners, instructors, contractors, and community members to help ensure programs and events are welcoming and responsive to community needs. Support the continued growth and improvement of Willamalane adult programs and events. Employees in this classification plan and implement year-round adult programs, services, and events for Willamalane across multiple facilities and parks. Work is performed under the general direction of the Adult Programs and Services Supervisor and is evaluated based on outcomes, goals, feedback from staff, community, contractors, and through direct observation. While this position does not typically include supervisory responsibilities, it may serve as a lead worker, providing direction and guidance to staff, instructors, contractors, volunteers, and community members.

Requirements

  • Associate degree or two years of experience in adult programs and events or customer service required.
  • Possession of or ability to obtain current First Aid and CPR/AED certificates, Oregon Food Handlers Card, and OLCC Servers Permit.
  • Valid Oregon Drivers License required with a safe driving record.
  • Ability to pass a criminal background check.

Responsibilities

  • Lead the planning, coordination, and implementation of Willamalane adult programs, services, and events, as directed by the Supervisor or Community Programs and Services Manager.
  • Plan, coordinate, implement, and evaluate assigned adult recreation programs, classes, workshops, social activities, and events.
  • Identify community interests and needs through participant feedback, program evaluations, attendance data, staff observations, and community feedback. Use this information to recommend and implement program improvements.
  • Assist with the planning and operations for adult programs, services, and events, including planning, setup, on-site coordination, teardown, and follow-up tasks.
  • Contribute to the development of new event enhancements, such as décor, activities, crafts, interactive elements, and thematic additions to programs, events, activities, and enhancements that respond to community interests and support department goals.
  • Assist with developing programming, timelines, and operational workflows for registration process including utilizing registration software for program development and registration of events and programs.
  • Provide on-site event support as scheduled to ensure smooth operations, staff coverage, and adherence to established event plans.
  • Assist in facility and site inspections before, during, and after adult programs, services, and events to ensure readiness, safety, and compliance with Willamalane standards.
  • Provide lead worker support to assigned part-time staff, volunteers, instructors, and contractors, including training, scheduling, and task delegation as directed by the Adult Programs and Services Supervisor or Community Programs and Services Manager.
  • Coordinate and schedule the use of Willamalane event-specific equipment for internal use.
  • Drive District vehicles to transport supplies, equipment, and materials required for adult programs and events.
  • Recruit, schedule, and coordinate instructors, contractors, performers, artists, vendors, and community partners as assigned. Support completion of agreements, required documentation, and established department processes.
  • Coordinate with the Communications and Marketing Department to support adult programming and event marketing, communication, and promotional needs. Submit requests for support in a timely manner, following brand guidelines, and ensuring processes are followed correctly.
  • Maintain records, reports, usage statistics, and required documentation related to adult programs and events.
  • Order, inventory, and track supplies and materials for adult programs and events and community partnerships within authorized spending limits.
  • Build and maintain positive relationships with participants, instructors, partners, community organizations, and other departments to support successful programs and events.
  • Contribute to department planning, team meetings, shared projects, and cross-program support. Communicate project status, challenges, and resource needs in a timely manner.
  • Provide post-programming and event feedback and assist with documentation required for follow-up.
  • Provide consistent, professional customer service to staff, instructors, contractors, volunteers, partners, and community members.
  • Work a flexible schedule, including evenings, weekends, and holidays, based on event needs.
  • Perform other job-related duties or tasks as assigned and required.
