  • To be in compliance with the District Two Loss Prevention Program, the Florida Department of Transportation Loss Prevention Procedure and be aware of reducing personal injury and vehicular accidents.
  • This position must respond before, during and after emergency situations.
  • High School Diploma or certificate of High school equivalency.

Responsibilities

  • Performs the Electronic Document Management System (EDMS) storage of construction and/or maintenance projects. Perform the daily attribution and Quality Assurance/Quality Control (QA/QC) function in order to publish/archive documents identified by the Unpublished Document Report submitted by central office. Retrieves documents, either hard copy or EDMS, as requested by proper authority.
  • Acts as Safety Coordinator for both the Lake City and Trout River Offices. Responsible for all aspects of Safety for the Materials Department, which includes, but not limited to: gathering, organizing, inputting information into spreadsheets and disseminating safety information to staff. Attends monthly District Safety meetings, distributes information to unit. Coordinates, creates and delivers Safety presentation for monthly unit meetings. Responsible for Annual Safety Inspections at both LC and Trout River Offices, to include maintaining and inspection of fire extinguishers, first aid kits and coordinate/prepares Accident Reports for District Safety Coordinator. Maintaining Fire Drill Evacuation Roster for unit and acts as Safety Lead during fire drills/evacuation.
  • Perform front desk receptionist coverage or any other area to promote and enhance the production level of administration overall; including communication, customer service, information dissemination, administrative reports and other administrative support tasks as identified by the Administrative Assistant.
  • Acts as Records Custodian for Materials. Records Management Inventory Tracking via various management systems, i.e. Records Retention and Destruction; to ensure compliance with department procedures. Responsible for Public records requests for Materials. Maintains and distributes monthly cell phone invoices, submits requests and obtains approvals for employee cell phones and tracks usage for the unit. Inputs and maintains Geotech sample data into various spreadsheets for section.
  • Maintains motor vehicle logs. Ensures that appropriate record keeping of Department of Transportation motor vehicle usage is conducted on a monthly basis and entered into the District Motor log System (MLS). Record and log vehicle gas receipts, update spreadsheet with monthly vehicle mileage.
  • Reviews and distributes daily mail. Uses a variety of software applications, databases, and office equipment to perform duties. Maintains copiers usage and coordination of supplies for unit.
  • Serves on and supports special events committees such as Safety Coordination and Awards and Recognition committees.
