About The Position

Providing our clients with exceptional service is the foundation of our business. The primary responsibility of the Records Production Representative (Records/Process Service Team) is to intake, process, and maintain records received from a variety of providers and institutions in a timely and accurate manner. In addition, this position will serve as an on-site administrative resource for the office, helping support day-to-day operations.

  • Ability to download, scan, import, organize, file, and store physical and electronic records according to established procedures.
  • Ability to review records for completeness, readability, proper organization, and accurate association with the appropriate request or matter.
  • Ability to perform quality-control checks and identify missing, duplicate, illegible, or incorrectly processed records.
  • Ability to follow up with providers and institutions regarding the status of outstanding record requests.
  • Ability to create clear and professional written correspondence.
  • Ability to respond professionally to provider, client, and internal staff questions by phone, fax, and email.
  • Ability to update applicable systems and documentation as work is completed.
  • Ability to maintain confidentiality of protected and sensitive information in accordance with HIPAA and company requirements.
  • Ability to receive, distribute, and prepare incoming and outgoing mail, packages, and deliveries.
  • Ability to maintain office supplies and coordinate replenishment as needed.
  • Ability to assist with filing, document organization, printing, scanning, copying, and other general administrative tasks.
  • Ability to help coordinate basic office and facility needs and route issues to the appropriate internal teams when necessary.
  • Ability to provide general administrative support to Records leadership and staff as needed.

Responsibilities

  • Intake and process records received from a variety of institutions, including hospitals, physician offices, employers, the Veterans Administration, Social Security Administration, IRS, and other providers.
  • Download, scan, import, organize, file, and store physical and electronic records according to established procedures.
  • Review records for completeness, readability, proper organization, and accurate association with the appropriate request or matter.
  • Perform quality-control checks and identify missing, duplicate, illegible, or incorrectly processed records.
  • Follow up with providers and institutions regarding the status of outstanding record requests.
