About The Position

King County Parks is seeking a detail-oriented and analytical Records Modernization Coordinator to support records management and modernization efforts within the Land Management team. This position plays an important role in improving how Parks organizes, maintains, and accesses critical property and land management records that support operations across the division. If you enjoy organizing complex information, improving processes, exploring emerging technologies, and working on projects that create lasting operational improvements, this may be the role for you. This position supports the transition of physical and electronic records to a digital records management system in accordance with County records management policies and state requirements. The role is responsible for helping manage thousands of real property records that support Parks' ability to provide public access, operate facilities, conserve environmental resources, and maintain accurate property information. As a member of the Land Management Unit, you will support records modernization efforts through both day-to-day records management activities and project-based work focused on improving how records are digitized, organized, stored, and accessed. You will work closely with internal partners to maintain records accuracy, evaluate technology solutions, support pilot projects, and help develop scalable approaches to records digitization and management. This position offers an exciting opportunity to explore emerging technologies that may include Optical Character Recognition (OCR), Artificial Intelligence (AI), workflow automation, and other records management solutions. This position follows a hybrid work model, blending remote and in-person work. The Parks Land Management team supports responsible stewardship of King County Parks properties, trails, and real property assets across one of the nation’s largest regional park systems. The team manages property records, land use information, permitting coordination, and operational support activities that help ensure Parks properties are maintained, documented, and managed effectively for long-term public benefit. Requirements

  • Experience in records management, information management, document control, or a closely related administrative or technical role.
  • Experience managing records in SharePoint or a similar digital records/document management system to organize, maintain, retrieve, or manage electronic records and associated metadata.
  • Experience performing high-volume, detail-oriented records review, data entry, or information management work with a high degree of accuracy.
  • Experience applying established policies, procedures, retention schedules, or quality standards to manage records or information.
  • Experience coordinating projects, implementation efforts, or process improvement initiatives involving multiple tasks, timelines, stakeholders, or system changes.
  • Demonstrated ability to identify process improvement opportunities and recommend practical solutions to improve workflow efficiency, information organization, or records management practices.
  • Strong written and verbal communication skills, including the ability to respond to inquiries and coordinate effectively with diverse stakeholders.

Nice To Haves

  • Knowledge of public records management statutes and best practices.
  • Experience working in government, public sector, or mission-driven organizations.
  • Experience with or familiarity with SharePoint Syntex, AI Builder, Power Automate software or Optical Character Recognition (OCR) or similar technology.
  • Basic knowledge of real estate records or principles related to real property ownership, rights, or land records.

Responsibilities

  • Review, analyze and manage physical and electronic real property records in accordance with records retention policies and records management standards.
  • Assist with quality control, indexing, digitization, and migration of records from legacy systems and physical files into Parks' digital records repository.
  • Organize, maintain, and validate records and metadata within Parks' digital records repository using SharePoint and other records management tools.
  • Research, evaluate, and recommend technology solutions that support records digitization, automation, and long-term information management.
  • Coordinate and support records modernization projects by assisting with project planning, pilot testing, implementation activities, performance monitoring, and process improvements.
  • Develop and document workflows, procedures, and operational guidance to support effective records management practices.
  • Communicate and collaborate with internal partners to respond to inquiries, support records-related needs, and improve access to information.
  • Contribute to continuous improvement efforts that enhance records management processes, technology solutions, and operational efficiency.
