About The Position

Reporting to the Manager, Access to Information and Privacy, the Records Management Coordinator will provide advice, guidance and assistance to all Regional departments with respect to electronic and physical records management obligations and best practices.

Requirements

  • A degree, diploma, or certification in Records and Information Management, Library Sciences, Archival Studies, Computer Science, or a related discipline, combined with three years of records and information management experience, or an equivalent combination of education and experience.
  • Knowledge and practical application of Records and Information Management principles and practices.
  • Familiarity with records management software and document management software (e.g. SharePoint and Microsoft 365).
  • Excellent organizational, planning, analytical, and problem-solving skills
  • Experience supporting records classification, retention, retrieval, transfer, and disposition processes.
  • Strong communication skills, both verbal and written.
  • Attention to detail and the ability to manage multiple tasks and competing priorities.
  • Excellent customer service skills.
  • Strong technical aptitude and the ability to learn new systems and processes quickly.
  • Ability to regularly lift records and banker boxes weighing a minimum of 30 pounds.
  • Comfortable using stairs, rolling ladders, step stools, and other equipment to access and move records and banker boxes.
  • A satisfactory Level 1 Criminal Record Check obtained directly from a police station. Third party background checks will not be accepted.

Responsibilities

  • Oversee and maintain the Regional Records Retention By-law
  • Provide advice and guidance to Regional programs on records management obligations and best practices.
  • Provide training to the Corporation on records management obligations and best practices
  • Assist with the implementation, administration, and review of records and information management solutions, including SharePoint and Microsoft 365.
  • Assist Regional programs with records classification, retention, disposition and records lifecycle management activities.
  • Coordinate and execute electronic and physical records destructions.
  • Support the operation of the Inactive Records Centre, including coordinating file and box transfers, retrievals, circulation, refiling, inventory activities, and disposition.
  • Review records submitted to the Inactive Records Centre for accuracy and completeness.
  • Provide back up support to the Inactive Records Centre.
  • Prepare status reports on records management project and operational activities.
  • Provide support for records management projects and program improvements as assigned.
  • Perform other related duties as required.
