About The Position

This position is responsible for overseeing the systematic handling of records within the credit union. Responsible for the efficient and systematic management of creation, receipt, maintenance, use and disposition of records, including processes for capturing, and maintaining evidence of and information about business activities and transactions in the form of records.

Requirements

  • Minimum three (3) years of experience in records management, compliance, or a related role, preferably in a financial institution.
  • Experience with records management software and document imaging systems.
  • Strong understanding of records retention regulations and best practices.
  • Knowledge of, or ability to learn, credit union policies, procedures and established processes.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and meet deadlines.
  • Proficiency in Microsoft Office Suite and records management software.
  • Strong analytical and problem-solving skills.
  • Maintain a high level of confidentiality in all areas of responsibility.

Responsibilities

  • Manages the DocRequest email inbox, uploads documents to ECM platform, processes research requests and inputs scanned branch documents.
  • Oversees credit union record storage, determines storage methods and ensures consistency.
  • Leads and manages the credit union's record management program across all formats, develops SOP's and guidelines for record storage, and creates scanning and physical file management plans.
  • Advises managers on adequacy of documentation and creation and management of credit union records, keeping management informed on current and projected operational requirements.
  • Maintains member files throughout all phases of the records lifecycle, including creation, indexing, filing, updating, closing and archiving, with emphasis on detail.
  • Works with the records management team to update the ECM filing system and leads training to educate employees procedures and proper use.
  • Prioritizes and processes work requests to retrieve, scan, or print records as needed for other staff members, auditors, examiners, and third-party legal requests.
  • Collaborates with Compliance and Risk Management to maintain the records retention schedule and oversees the destruction of physical and electronic records.
  • Maintains an accurate inventory of all digital and physical records, performs quality control to ensure proper filing and accessibility, and collaborates with the ECM application manager to enhance automation and streamline processes.
  • Works with offsite storage to meet records management goals and complies with the retention schedule.
  • Ensures duties performed are in compliance with all security, audit, regulatory compliance, information security, customer privacy, and Bank Secrecy Act/Customer Identification Program policies and procedures.
  • Leads projects related to records management.
  • All other duties as assigned.
