About The Position

Under direct supervision of Chief Clerk, acknowledges and maintains log of all visitors entering department; directs visitors to proper personnel; answers telephones; relays messages; performs clerical duties as assigned.

Requirements

  • Legible handwriting, good oral communication skills, ability to handle calls and visitors in professional manner.
  • Familiarity with Authority and departmental policies and procedures. Proper use of all capabilities of photocopier. Work routines of office personnel.

Responsibilities

  • Acknowledges and MAINTAINS log of all visitors entering department; records claim information supplied by visitors; obtains appropriate files; refers files and visitors to proper adjuster.
  • Maintains in/out office schedule of adjusters and supervisors. Answers telephones for supervisors and adjusters as necessary; takes, transmits messages.
  • Opens and separates mail for delivery to Legal Department; obtains and supplies file number and other necessary information for proper dispersal of mail.
  • Sorts file attaching into numerical order; returns attaching to File Room.
  • Maintains supplies on hand for photocopies. Assists other employees using copier as necessary.
  • Complies with all Authority and departmental safety and security policies and procedures as well as all applicable job safety responsibilities. Reports any safety concerns, compromises or hazards affecting operations, the public, self and/or other employees. Responsible for personal safety and is encouraged to promote the safety of others.
  • Performs miscellaneous clerical duties as assigned.
