The Receptionist position serves as the first point of contact for the organization, providing a welcoming and professional environment for clients, guests, and staff. This role involves managing front desk operations, coordinating communication, and supporting administrative tasks to ensure efficient office functioning

Requirements

  • Bachelor’s degree required
  • Significant relevant experience in lieu of degree will be considered
  • Excellent communication and organizational skills, and attention to detail and accuracy in a fast paced environment.
  • Comfortable with a web-based work environment - ability to learn new software quickly and effectively.
  • Maintaining high levels of discretion with confidential and sensitive information.

Responsibilities

  • Assist Financial Advisors, Wealth Managers, Accountants, and Attorneys to facilitate and maintain client relationships.
  • Maintain client accounts by gathering necessary documents provided by clients and keeping up with client correspondence.
  • Creating and maintaining all calendars including client appointments, referral appointments, advisor meetings, and necessary rescheduling as needed for all financial, legal, and accounting appointments virtually.
  • Scanning documents, filing paperwork, mailing documents, and preparing for all meetings.
  • Monitoring any and all service issues to ensure a high quality response to clients.
  • Establishing and maintaining a book of business via outbound calls and taking all inbound calls from clients.
  • Assist with the creation and posting of social media content, including filming and supporting the production of videos for company platforms
