About The Position

The Receptionist/Administrative Assistant provides support to the Vancouver office. In our fast-paced work environment, you will be responsible for carrying out a variety of tasks that are important to the operation and administration of the organization.

Requirements

  • Minimum completion of High School Diploma
  • 1 to 2 years of related experience
  • Intermediate to advanced level skills with Microsoft Word, Excel, PowerPoint, and Adobe Acrobat. A general aptitude for computer usage.
  • Working knowledge of database management
  • Customer service oriented with exceptional phone and email etiquette
  • Fast learner with a desire to grow professionally and personally
  • Team player with ability to work independently and with minimum direction
  • Demonstrated effective verbal and written communication skills
  • Focused attention on detail and accuracy
  • Ability to prioritize, multi-task, and stay focused
  • Hard worker who readily and quickly assumes responsibility; who is punctual, dependable
  • Positive and respectful attitude

Nice To Haves

  • Post-Secondary certificate/diploma from an administrative assistant program is considered an asset
  • Familiarity with the professional services environment would be an asset

Responsibilities

  • Attend in coming calls, using Teams to transfer inquires to the appropriate department
  • Handle daily mail/courier packages
  • Book and manage boardrooms; set up events and ensure tidiness and clean-up
  • Prepare and ordering supplies for general inventory
  • Creating and formatting schedules, letters, reports, proposals, specifications, certificates of insurances, and data entry
  • Creating proposal and project numbers in our project management software
  • Maintain stationary stock at various stations throughout office
  • Perform scanning, photocopying, binding, laminating tasks
  • Perform accurate daily filing and interpret documents to keep filing up to date
  • Daily maintenance of kitchen areas: replenish supplies, general cleanliness
  • Provide back up to the other administrative staff
  • Other tasks as required
