About The Position

As the Receptionist, you will serve as the welcoming face and voice of the organization, providing a professional and positive experience for clients, visitors, employees, and other guests. As the first point of contact, the Receptionist plays a critical role in creating a professional and welcoming environment while supporting the smooth day-to-day operations of the office. Responsibilities include managing the front desk, answering and directing phone calls, greeting and assisting visitors, coordinating visitor access, and providing general administrative and office support as needed.

Requirements

  • High School Diploma or equivalent.
  • Minimum of 1–2 years of experience in reception, hospitality, customer service, administrative support, office services, or a related professional environment.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills with the ability to interact professionally with clients, visitors, employees, and vendors.
  • Professional, polished, and welcoming demeanor.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple priorities and remain composed in a fast-paced, high-volume environment.
  • Proficiency with Microsoft Office and standard office technology.
  • Ability to learn and follow established procedures, client requirements, and service standards.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Ability to stand, walk, sit, and move throughout the workplace for extended periods of time.
  • Ability to lift and move packages, office supplies, and other materials weighing up to 40 lbs.
  • Ability to grasp, lift, and carry packages on a standard wheeled cart with a load capacity of 75 lbs.

  • Previous experience in a professional office, corporate, legal, financial, or other client-service environment preferred.

Responsibilities

  • Serve as the primary point of contact for clients, visitors, employees, and other guests entering the facility.
  • Greet and welcome visitors in a professional, friendly, and courteous manner.
  • Answer, screen, and direct incoming telephone calls to the appropriate individuals or departments.
  • Manage the reception desk and ensure consistent front desk coverage during assigned hours.
  • Assist visitors with sign-in procedures, visitor badges, directions, and other access requirements.
  • Notify appropriate client staff when visitors arrive and assist with coordinating visitor access.
  • Monitor the reception area and maintain a clean, organized, and professional appearance.
  • Respond to general inquiries and provide accurate information regarding office services, facilities, directions, and procedures.
  • Assist with conference room reservations, meeting coordination, and visitor preparation as needed.
  • Support meeting and hospitality needs, including coordinating refreshments, catering, and conference room setup.
  • Receive, sort, and distribute incoming mail, packages, and deliveries as required.
  • Assist with administrative tasks, including data entry, filing, scanning, document preparation, and other office support activities.
  • Maintain visitor logs, reception records, and other required documentation accurately and in accordance with client procedures.
  • Handle sensitive or confidential information with professionalism and discretion.
  • Monitor and listen to clients to understand inquiries and requests in order to provide accurate information and prompt assistance.
  • Accurately communicate with client staff and team members regarding commitments, deadlines, challenges, requests, and service updates.
  • Deliver on service commitments in a timely, accurate, and professional manner.
  • Provide support for miscellaneous requests with a positive, flexible, and “can-do” attitude.
  • Maintain a positive team-player mentality and contribute to a collaborative work environment.
  • Exercise appropriate quality control to ensure all assigned work is completed accurately and professionally.
  • Comply with Opensity Solutions' standards of operations as set forth in the contract agreement, site operations manual, and employee handbook.
  • Uphold the Standards of Service and best practices established by Opensity Solutions.
  • Perform other duties and responsibilities as assigned.
