About The Position

The Receptionist at Winona Family Practice is responsible for greeting patients, registering them with accurate demographic information, and scheduling future appointments. This role also involves assisting the Nurse Practitioner with office duties, serving as a liaison with the professional billing service, and ensuring the efficient administration of office operations. The position requires performing duties in a manner consistent with Winona Family Practice's objectives and values, maintaining HIPAA confidentiality, and providing excellent customer service.

  • Ability to sit or stand for long periods of time; some stooping and bending are required.
  • Ability to occasionally lift and transport items (i.e., files, supplies) weighing up to 50 pounds.
  • Skills in gathering information, interpreting needs and preparing recommendations relating to professional billing requirements.
  • High school diploma or equivalency required.
  • One year office experience including phones and typing required or an equivalent combination of educational experience from which comparable job knowledge could be acquired.
  • Skills in mathematical calculations, understanding of financial analysis terms; basic financial skills.
  • Proficiency in computer skills and of office equipment operations, with ability to learn new software applications.

Nice To Haves

  • Medical office setting experience preferred.
  • Preferred knowledge in ICD-9 and CPT coding.
  • Knowledge of healthcare administration and medical terminology is desirable.
  • Strong organizational skills.

Responsibilities

  • Greets patients and registers them with current, accurate demographic information.
  • Schedules future appointments and assists the Nurse Practitioner with office duties.
  • Serves as liaison with professional billing service.
  • Responsible for efficient administration of office operations.
  • Provides excellent service to customers following Winona Family Practice core values, customer service standards, and behavioral expectations.
  • Maintains confidentiality according to HIPAA guidelines.
  • Answers telephones, triages messages, and schedules patient appointments/referrals.
  • Performs patient "check in" process, including registering new patients and updating demographic and insurance information.
  • Performs patient "check out" process, including collection of payments.
  • Assists patients and responds to requests for assistance and information professionally.
  • Creates, updates, and maintains medical records per Winona Family Practice and practice/clinic policies.
  • Assists with end of day/month reconciliation and financials for the practice/clinic.
  • Contacts responsible party of non-insured patients to evaluate financial status.
  • Audits patient accounts for proper charges and uniform billing revenue coding.
  • Analyzes requests for review or reconsideration when payment is inadequate or inappropriate.
  • Follows up on internal/external inquiries and initiates adjustment claims when applicable.
  • Collaborates with administrator and billing department for resolution of accounts.
  • Revises and maintains financial records mandated by facility policy.
  • Prepares account information for litigation.
  • Provides supportive documentation for claims management.
  • Assists with specialized insurance forms.
  • Creates a work environment that promotes safety for patients, staff, and customers.
  • Reports any safety concern or near miss on the appropriate report form.
  • Maintains awareness of safety at all times.
  • Serves as backup for other office staff as needed.
  • Expands and maintains professional knowledge/skills through continuing education.
  • Responds to all environmental safety factors.
  • Provides team support to staff.
  • Attends required meetings, serves on committees as requested, and assists with special projects.
  • Participates with performance improvement activities.

  • Remains current with and adheres to all Winona Family Practice policies, standards of conduct, and all regulatory guidelines.
  • Compiles and maintains practice/clinic logs, records, reports, and stats, as assigned.
  • Maintains clean and orderly work area.
