About The Position

Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains physical office security. Performs a wide range of administrative and office support activities for the company.

Requirements

  • High School Diploma Required
  • 1-3 years of experience
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint)
  • Ability to analyze and revise operating practices to improve efficiency
  • Detail-oriented and comfortable working in a fast-paced office environment
  • Superior organizational skills and dedication to completing projects in a timely manner
  • Excellent written and verbal communication skills
  • Attention to detail and problem-solving skills

Responsibilities

  • Welcomes visitors by greeting them in a professional and courteous manner, answering or referring internal or external inquiries
  • Maintains security by following procedures, monitoring the logbook, and issuing visitor badges
  • Provides exemplary customer service to internal and external stakeholders
  • Adheres to company dress code and grooming standards while representing the organization as the first point of contact for visitors and clients
  • Answers, screens, and transfers inbound phone calls
  • Directs guests to the appropriate Denali associate or area
  • Manages and maintains the reception area, including keeping the reception area an inviting and welcoming environment
  • Manages and reconciles the office petty cash, ensuring adequate funds at all times
  • Manages and posts daily schedules for conference rooms
  • Maintains and orders office supply inventories regularly
  • Provides support in scheduling and coordinating complex activities such as meetings, appointments, and events for managers, supervisors, directors, and executives as requested
  • General clerical duties including photocopying, faxing, and mailing
  • Maintains goodwill activities including, but not limited to, anniversary cards, birthday cards, requested gift/flower/services procurement, and badge tenure updates
  • Orders and sets up/tears down food for events or departmental needs
  • Manages the distribution and collection of office mail from the mailbox
  • Collects the outgoing mail and deliver to the accounting department
  • Maintains the employee badge system for employees onsite, including taking the pictures, formatting appropriately, and creating the badges
  • Coordinates maintenance of office equipment
  • Ensures cleanliness of community spaces, conference rooms, and break room (including but not limited to employee refrigerators)
  • Participates in events committee and coordination of activities
  • Manages the ordering, inventory, and preparation of employee treat programs (cookies and Employee Snacks)
