The primary accountability of this role is to provide excellent customer service, both internally and externally, assist the Executive Director and Management team, and promote effective communication throughout the community.

Requirements

  • Present a professional demeanor that communicates a corporate philosophy of service, goodwill, and genuine interest in each resident’s need.
  • Maintain a consistent presence at the Front Desk and prioritize promptly answering phones, greeting visitors, and being available to assist Residents and their family members.
  • Warmly greet all visitors upon arrival to the community, and provide first-class customer service.
  • Answer phones for the Management Team in a friendly, efficient, articulate manner, and follow up appropriately with taking messages according to company procedure.
  • Inspect and maintain the reception area.
  • Assist the Executive Director and Management Staff as requested.
  • Become familiar with the Residents and Facility.
  • Assist with clerical office work.
  • Maintain the bookkeeping of the community including accounts payable, vendor compliance, accounts receivable, journal entries, cash flow and all other aspects of the company’s accounting policies.
  • Complete all administrative duties timely and as required, including but not limited to, copying, filing, and data entry in order to support the Executive Director.
  • Accurately manage resident records ensuring completed resident agreements and adequate follow-up on special agreements and renewals.
  • Order and maintain an inventory of office supplies for the Community, as needed.
  • Maintain schedule/resident sign-up sheets for activities/transportation.
  • Work with department heads to schedule transportation.
  • Create and/or update resident records and inputs new resident information into appropriate information systems, including Resident Services and Wellness.
  • Management of communications within the building, including entering work orders and performing follow-up telephone calls to ensure resident satisfaction.
