About The Position

Thompson was founded in 1886 as an orphanage and has grown into an organization operating across the Carolinas, Florida Tennessee and Kentucky. Thompson’s continuum of care encompasses three domains: prevention, mental health services and foster care. All Thompson programs are trauma-informed and evidence-based/evidence-informed with the intention of building resilience in our clients (ages 0-18) and their families, both virtually and in person. The purpose of this position is to ensure a friendly and welcoming ambience to all guests, visitors, and clients calling or visiting the Charlotte Family Support Center. You will work a part time schedule, 10-20 hours per week.

Requirements

  • Must have a high school diploma or GED and at least one year of administrative experience.
  • Must be familiar with MS Word, Excel and Outlook.
  • Must have the ability to interact calmly and tactfully with the public and internal customers.
  • Must have a clear speaking voice and fluency in the English language.
  • Must be able to work independently when appropriate and have the ability to coordinate responsibilities with others when needed.
  • All potential job candidates must pass a drug screening test, and an extensive background check is required.

Nice To Haves

  • Knowledge of Spanish language helpful.

Responsibilities

  • Performs front office duties (reception, phones, granting visitors/staff access to the site): Answer main switchboard and respond to visitors.
  • Provide cross-coverage support for front desk and reception operations across assigned Thompson sites, including but not limited to Wendover and SPL, as Operational needs require
  • Supports building opening and closing procedures and assigned locations
  • Maintains comfort of lobby/waiting area.
  • May perform a variety of functions, including data entry, and communication regarding facilities management.
  • Provides information and assistance to the public in a courteous manner and with sensitivity to the Agency's audience and expectations.
  • Assist visitors and staff in response to questions regarding the Agency, as needed.
  • Communicates effectively with all individuals and handles calmly and efficiently situations ranging from routine to emergency.
  • Maintains calendars for all meeting rooms
  • Processes all incoming facsimiles, scanned documents, etc.; disseminates appropriately to Agency recipients.
  • Distributing incoming mail; maintain mail/copy rooms.
  • Provides clerical assistance and ongoing support to staff as needed
  • Manages petty cash process and reporting, collects and receipts client payments.
  • Assist with referral process.
  • Other duties as assigned.
