About The Position

The Receptionist is the face of the dealership and often the first person our customers meet or speak with. As the first impression of our team, you play an important role in creating a welcoming, professional, and positive experience for every guest who walks through our doors. Whether you're greeting customers, answering phones, supporting various departments, or helping keep daily operations running smoothly, you'll be a key part of delivering the exceptional service our dealership is known for. Role Summary: The Receptionist plays a key role in creating a positive first impression for customers and visitors. This position manages the front desk, answers phones, supports customer interactions, and assists with general administrative tasks in a fast-paced automotive environment. The ideal candidate is professional, courteous, and able to handle multiple priorities while supporting dealership operations.

Requirements

  • High school diploma or equivalent required; post-secondary education an asset.
  • Previous experience in a receptionist, administrative, or customer service role, preferably in a dealership or retail environment.
  • Proficiency with Microsoft Office Suite and dealership management software (DMS) an asset.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor suitable for customer-facing role.
  • Ability to work in a fast-paced, dynamic environment while maintaining attention to detail.

Responsibilities

  • Greet and welcome customers, clients, vendors, and staff in a professional and friendly manner.
  • Answer, screen, and route incoming phone calls and emails promptly and courteously.
  • Direct customers to the appropriate departments (Sales, Service, Parts, or Finance) and ensure they are attended to promptly.
  • Assist with administrative tasks such as filing, data entry, document preparation, and scanning contracts or work orders.
  • Receive and process incoming and outgoing mail, packages, and deliveries.
  • Maintain an organized and professional reception area that reflects the dealership’s brand.
  • Assist Sales, Service, and Parts departments as needed with administrative support or customer follow-up.
  • Maintain confidentiality of customer, employee, and dealership information.
  • Monitor and manage customer waiting areas, including refreshments and communication updates.
