About The Position

The Receptionist will play a key role in ensuring the smooth and efficient operation of the workplace by providing comprehensive administrative support and delivering professional service to team members, visitors, and stakeholders.

Requirements

  • High School Diploma or equivalent required
  • 2+ years of experience in an administrative, office support, or receptionist role
  • Strong written and verbal communication skills, with the ability to interact professionally with employees, leaders, vendors, and visitors
  • Demonstrated ability to manage multiple priorities, schedules, and deadlines with minimal supervision
  • Proven capability to remain calm, professional, and solution-oriented in high‑pressure or high‑traffic environments
  • High attention to detail for data entry, document handling, and calendar management
  • Proficiency in Microsoft Office and Outlook
  • Proactive mindset with the ability to suggest and implement process improvements
  • Flexible and adaptable to changing priorities
  • Willingness to occasionally work early mornings and evenings as business needs require

Responsibilities

  • Serve as a visible and trusted front‑office presence, greeting employees and visitors and acting as a knowledgeable point of contact for office‑wide needs.
  • Independently manage internal office communications, including meeting invitations, and scheduling alignment across stakeholders.
  • Plan and coordinate visit agendas for leadership, interns, and other guests, ensuring a high‑quality, organized, and professional on‑site experience.
  • Partner with HR to assist with interviews as needed, including scheduling logistics, room readiness, and candidate support.
  • Lead engaging office tours for visitors and new hires, reinforcing a positive first impression and strong onboarding experience.
  • Support the planning and execution of company, employee, and community events, ensuring smooth logistics and attention to detail.
  • Take full ownership of inventory management, proactively monitoring and restocking office supplies and shared amenities to prevent shortages.
  • Oversee the general upkeep and presentation of common areas, including kitchens, lobby coffee stations, mail/supply rooms, and conference rooms.
  • Act as the primary liaison for vendors and service providers while managing mail, shipping, and meeting‑related food and beverage coordination.
  • Exercise good judgment and discretion when handling sensitive or confidential employee and HR matters.
