We are seeking a highly organized and personable Receptionist to serve as the front desk point of contact for our Personal Injury Practice Group. This role is critical to ensuring a smooth, professional, and welcoming office experience for clients, visitors, and staff. This is a fully in-office position requiring a consistent presence Monday through Friday, 9:00 AM to 6:00 PM (ET). The ideal candidate thrives in a fast-paced environment, excels in customer service, and takes pride in maintaining an organized and efficient office.

Requirements

  • Prior experience in a receptionist, front desk, or office assistant role strongly preferred
  • Excellent communication and interpersonal skills with a polished, professional demeanor
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Experience with multi-line phone systems (Zoom Phone preferred)
  • Familiarity with case management software (SmartAdvocate preferred)
  • Understanding of AI tools (e.g., Foundation AI) and associated confidentiality considerations in a legal setting
  • Fluent in English
  • High level of discretion when handling confidential and sensitive information

Nice To Haves

  • Bilingual in Spanish preferred

Responsibilities

  • Serve as the first point of contact for all clients, guests, and visitors, delivering a professional and welcoming experience
  • Monitor office entry and manage door access for guests and clients
  • Operate a multi-line phone system to answer and route incoming calls promptly and accurately
  • Review case information in SmartAdvocate to direct calls to the appropriate staff
  • Manage and distribute main voicemail inbox, ensuring timely follow-up
  • Provide exceptional customer service to in-office and remote team members
  • Liaise with intake specialists to assist with new client matters and proper case assignment
  • Maintain strict confidentiality of all client information and adhere to data privacy standards
  • Receive, scan, and distribute all incoming mail, including sensitive legal and medical documents
  • Prepare and coordinate outgoing mail and packages
  • Support accounting processes by assisting with depositing funds and tracking payments
  • Maintain a clean, organized, and professional reception and common areas
  • Restock and order office and kitchenette supplies
  • Coordinate office lunches and vendor deliveries as needed
  • Set up and break down conference rooms for meetings, depositions, and events
