About The Position

The Receptionist serves as the first point of contact for clients, visitors, and business partners while supporting the day-to-day administrative operations of the agency. This role is responsible for managing front desk activities, handling incoming calls and correspondence, and assisting team members with various administrative tasks to ensure a professional and welcoming office environment. Requirements

  • High School Diploma or equivalent required.
  • Minimum of 1 year of experience in a Receptionist, Administrative Assistant, or similar office support role.
  • Proficiency with MS Office Suite and the ability to learn new software applications, including the Agency Management System.
  • Basic accounting and invoicing experience.
  • Strong verbal and written communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Demonstrated problem-solving skills with the ability to exercise sound judgment and make decisions with limited supervision.
  • Ability to work both independently and collaboratively in a team environment.
  • Professional, respectful, and customer-focused demeanor when interacting with employees, clients, and vendors.
  • Dependable, reliable, and committed to maintaining excellent attendance and punctuality.
  • Strong sense of ownership, accountability, and pride in work quality.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to pass a criminal background check, as permitted by law.

  • Knowledge of insurance industry concepts, practices, and procedures preferred.

Responsibilities

  • Answer and direct incoming telephone calls in a professional and courteous manner.
  • Welcome and assist clients, visitors, vendors, and guests.
  • Receive, open, sort, scan, and distribute daily mail and correspondence.
  • Process invoices and assist with basic accounting-related tasks.
  • Order and maintain office supplies and equipment inventory.
  • Provide administrative support to team members and departments as needed.
  • Assist with data entry, document management, and Agency Management System functions.
  • Complete special projects and assignments as requested by management and team members.
  • Prioritize workload effectively while managing multiple responsibilities and deadlines.
  • Maintain confidentiality of sensitive company, client, and employee information.
  • Contribute to a positive team environment and provide support to colleagues as needed.
  • Perform other administrative duties as assigned.
