Receptionist

Portal Space SystemsBothell, WA
Onsite

About The Position

We're looking for a solutions-minded professional who takes pride in creating a warm, memorable experience for everyone who walks through our doors — someone highly organized, personable, and energized by fast-moving, high-growth environments. It's a great opportunity to join a growing team doing meaningful work in the aerospace and satellite industry. As our Receptionist, you'll be the first face and voice people encounter at a secure facility supporting satellite and aerospace operations — greeting employees, contractors, candidates, visitors, and vendors alike. Beyond the front desk, you'll wear a lot of hats: keeping the office running smoothly, coordinating logistics, and supporting the teams around you. The role calls for genuine hospitality paired with sharp attention to security protocol, confidentiality, and knowing when to be the friendly gatekeeper. This is a full-time, on-site position. If you like the idea of running a tight ship, keeping the bridge welcoming, and making sure nothing gets past you without proper clearance — we'd love to have you aboard!

Requirements

  • High school diploma or equivalent (additional administrative training a plus)
  • 1–2 years of experience in a receptionist, administrative, customer-service, security-support, or general office role
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills, with the ability to juggle multiple priorities
  • Proficiency with the Microsoft Office suite (Outlook, Excel, Word) or comparable software
  • Sound judgment when handling confidential or sensitive information
  • Energetic, proactive, and positive attitude

Nice To Haves

  • A sharp eye for detail and a knack for keeping accurate records
  • Polished, professional presence
  • Composure and professionalism in a controlled-access setting
  • Confidence to hold the line on policy with visitors — firm and clear, never abrasive
  • Willingness and ability to follow strict access-control and security procedures
  • Ability to pass any background screening or security authorization the facility requires
  • Background working in aerospace, defense, government, technology, or another controlled-access environment
  • Experience working in a startup or tech environment
  • Interest in the space industry or aerospace technology
  • Familiarity with visitor-management or badge-access systems
  • Experience supporting executives, engineers, or technical/government/contractor personnel
  • Working knowledge of basic security and emergency-response procedures

Responsibilities

  • Welcome and check in employees, contractors, candidates, visitors, and vendors following established facility security procedures
  • Verify identification, maintain accurate visitor logs, and issue temporary badges or access credentials when authorized — including confirming U.S. person status where required
  • Coordinate access approvals with security staff and relevant facility contacts
  • Field and route incoming calls and emails, and respond to general inquiries with professionalism and care
  • Manage incoming and outgoing mail, deliveries, and courier coordination
  • Enforce facility rules and visitor policies with tact and firmness, ensuring compliance without compromising the visitor experience
  • Stay alert to activity in the reception area and flag anything unusual to security promptly
  • Adhere to all access-control, safety, emergency, and security protocols
  • Keep the office clean, organized, and well-stocked
  • Coordinate maintenance and repairs for office equipment and facilities.
  • Arrange shipping and freight logistics, including large-item pickups and pallet deliveries
  • Support onboarding logistics for new hires — badges, seating, and welcome kits
  • Track inventory of company assets and supplies
  • Keep thorough, accurate records while safeguarding sensitive and confidential information
  • Support internal communications and help with document preparation and data entry
  • Help coordinate team lunches, meetings, and small offsite events
  • Assist employees and visitors with directions, meeting-room coordination, and other administrative needs
  • Keep the reception and office areas organized, welcoming, and professional at all times
