Receptionist – JLL What this job involves: We're seeking a Receptionist to serve as the welcoming face of our client's facility and the first point of contact for all visitors, employees, and contractors. In this essential role, you'll provide professional front-desk support while maintaining a secure and organized reception area. Reporting directly to the Facility Manager, you'll collaborate with diverse internal and external stakeholders across all organizational levels. This position requires strong independent judgment to prioritize tasks, manage multiple responsibilities efficiently, and deliver exceptional service that reflects JLL's commitment to excellence. Requirements

  • High school diploma or equivalent with demonstrated proficiency in office administration and customer service environments.
  • Minimum 2 years of experience working as a receptionist or in a similar front-desk role with proven ability to manage high-traffic areas professionally.
  • Bilingual fluency in English and Spanish with strong written and verbal communication skills to effectively interact with diverse stakeholders at all organizational levels.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) for daily correspondence, scheduling, reporting, and administrative tasks.
  • Demonstrated ability to establish priorities, manage multiple tasks simultaneously, meet deadlines consistently, and work independently with minimal supervision.

Nice To Haves

  • Associate degree in Business Administration, Office Management, or related field demonstrating commitment to professional development.
  • Experience working in corporate facilities, property management environments, or with integrated facility management service providers.
  • Familiarity with visitor management systems, access control platforms, and security badge issuance procedures.
  • Understanding of workplace health and safety standards with ability to identify and report potential hazards or security concerns.
  • Strong interpersonal skills with a team-player attitude, adaptability to changing priorities, and commitment to delivering excellent customer service in fast-paced environments.

Responsibilities

  • Answer all incoming calls promptly using established company protocols and route them to the appropriate departments while maintaining professionalism and accuracy.
  • Greet and direct all visitors, employees, and contractors courteously, providing necessary orientation and ensuring proper check-in procedures are followed consistently.
  • Issue and manage security badges for visitors and regular employees according to standard operating procedures while maintaining accurate visitor logs and access control.
  • Perform clerical and administrative support duties including filing, database management, document preparation, and other office-related tasks as assigned by the Facility Manager and Facility Coordinator.
  • Respond to routine client inquiries and general questions efficiently, escalating complex matters to appropriate team members while ensuring timely follow-up.
  • Maintain a clean, organized, and safe reception workspace that reflects JLL's professional standards and supports operational efficiency throughout the facility.
  • Provide flexible support across multiple sites as needed and participate actively in facility programs with a commitment to continuous learning and professional development.
