As the first point of contact for clients, visitors, and employees, the Receptionist plays a crucial role in creating a positive and professional impression. The ideal candidate will handle phone calls, greet guests, and assist with administrative tasks, ensuring smooth operations and exceptional customer service. Requirements

  • High school diploma or equivalent (associate’s or bachelor’s degree preferred)
  • Prior experience in a legal office or administrative role is highly preferred
  • Familiarity with legal terminology and court procedures is a plus
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and legal software systems
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Ability to work in a fast-paced, deadline-driven environment

Responsibilities

  • Greet clients, visitors, and vendors in a courteous and professional manner
  • Answer, screen, and direct incoming phone calls promptly
  • Schedule client consultations, meetings, and attorney appointments
  • Manage conference room calendars and ensure meeting spaces are prepared
  • Ensure confidentiality and proper handling of sensitive legal information
  • Provide general administrative support to attorneys and legal staff
  • Maintain a clean, organized, and professional reception area
  • Maintain and organize client files, both physical and electronic
  • Handle incoming and outgoing mail, legal documents, and courier deliveries
  • Assist with document preparation, formatting, and filing (including court filings when needed)
