About The Position

The Receptionist provides high-level administrative and front desk support by greeting and directing visitors, managing incoming calls, handling packages, and performing a wide range of clerical and office coordination tasks. This role serves as the first point of contact for visitors and callers and ensures that the reception area and boardroom operations run smoothly and professionally.

Requirements

  • Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.
  • High school diploma or equivalent.
  • At least 5 years of experience in reception, front desk, customer service, data entry, or related clerical roles.

  • Experience in badging and visitor access control processes.
  • Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Prior experience with data entry and maintaining accurate logs and records.

  • Ability to prepare professional documents, mailers, and bound materials.

Responsibilities

  • Greet and professionally direct visitors upon arrival, ensuring a welcoming and organized front desk experience.
  • Provide accurate information to visitors and callers and answer the telephone or console switchboard promptly and courteously.
  • Receive, log, and send packages via couriers, ensuring proper handling and tracking.
  • Maintain a detailed visitor log and call record, and issue security passes and badges as required.
  • Perform typing, filing, data entry, and other clerical functions to support office operations.
  • Maintain the boardroom schedule, including booking meetings and coordinating room usage.
  • Ensure boardroom equipment is available, functional, and ready for meetings.
  • Provide general administrative support such as photocopying, binding books, and preparing mailers and other materials.
  • Keep information and records organized, up to date, and handled with strict confidentiality.
  • Manage time effectively, prioritize tasks, and work independently to complete daily responsibilities.
  • Deliver front desk and white glove service, maintaining a high standard of customer service for internal and external stakeholders.
  • Support reception and badging processes, ensuring accurate and secure access for visitors and staff.
