About The Position

Wilson Sonsini is seeking a full-time Receptionist for its San Francisco office. This role is crucial as the Receptionist is the first point of contact for the firm, responsible for presenting a professional and courteous image to clients, visitors, and employees. The position involves providing support to ensure requests are addressed and reporting to the Office Administrator. Duties include booking conference rooms, welcoming visitors, tracking building access, assisting with hoteling offices, uploading invoices, preparing administrative forms, and undertaking other assigned administrative projects.

Requirements

  • Experience of 1+ years is required
  • High school diploma required
  • Must demonstrate professional telephone etiquette, and excellent verbal and written communication as well as the ability to communicate with all levels of employees throughout the firm in an effective, pleasant, and professional manner
  • Must be able to work well with others in a team-oriented environment and must exercise extraordinary discretion and maintain client and attorney confidentiality
  • Ability to learn, understand, and apply new business practices and software as needed
  • Possess excellent computer proficiency (MS Office – Word, Excel and Outlook) are required
  • Must be flexible and able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments

Nice To Haves

  • Ability to work overtime occasionally and adjust schedule as needed

Responsibilities

  • Answer incoming calls and transfer internally and externally using Microsoft Teams
  • Greet and assist clients, guests, vendors, and employees
  • Ensure all visitors are registered in the visitor management system and with building security
  • Schedule internal conference rooms and arrange for catering and technical equipment when necessary
  • Assist with conference room set up as requested with food, beverages, and any other special requests
  • Oversight of onsite meetings to ensure everything is running smoothly and addressing requests from visiting guests
  • Assist with booking visiting attorney offices when necessary
