About The Position

The Receptionist is responsible for providing excellent customer service and public relations needed for quality care and services to all customers. Other responsibilities include answering and transferring all incoming telephone calls in a courteous and professional manner, serving as an information resource, and performing a variety of administrative duties as assigned.

Requirements

  • High school graduate preferred.
  • Three (3) or more months work as a receptionist is desired.
  • Excellent interpersonal, communication, and organizational skills.
  • Experience with various office equipment such as copy machines, multi-line phones, postage meter, fax machines, etc.
  • Demonstrated computer proficiency and experience in various programs including Microsoft Outlook, Excel, Publisher and Word is desired.
  • Demonstrated ability to maintain confidentiality, solve problems, and manage your time wisely.
  • Demonstrated compatibility with Heartwood's mission and operating philosophies.
  • Demonstrated ability to read, write, speak and understand the English language to communicate with all customers.

Responsibilities

  • Assist in maintaining an environment that achieves high quality care and service (physical, mental, emotional, social, vocational and spiritual) of residents and maintains their independence and dignity to the highest degree possible.
  • Maintain effective communication systems with all customers and communicate customer needs/concerns to appropriate staff.
  • Provide information or resources about Heartwood.
  • Assist residents with work orders and other needs as presented.
  • Create a positive first impression by greeting all residents, staff, visitors, and customers in a cheerful, courteous, and professional manner.
  • Provide excellent customer service, communicate professionally, and handle challenges gracefully.
  • Utilize available resources to respond to customer inquiries and direct them to the appropriate staff.
  • Complete assigned administrative duties such as data entry, filing, copying, record keeping, ordering supplies, equipment maintenance, admissions, office security, marketing and employment materials, in a timely and professional manner.
  • Use computer programs and manage telephone systems accurately and efficiently.
  • Coordinate emergency/crisis procedures and communication.
  • Maintain knowledge and basic understanding of Heartwood and campus programs and services, key contact personnel, and individual departmental roles.
  • Manage multiple inputs, interruptions, and changing priorities with composure.
  • Serve as the information center for all customers.
  • Demonstrate good stewardship of available resources (office supplies, utilities, time).
  • Assist in monitoring stock of office supplies and assist in ordering and restocking of supplies.
  • Take initiative; use imagination and creativity in problem solving; broaden perspective beyond your own environment; recommend solutions; handle challenges, changes and job pressures competently and positively; demonstrate patience, flexibility and adaptability.
  • Organize and execute responsibilities using established priorities; manage time appropriately - work efficiently; demonstrate self-improvement and desire to learn and grow.
