About The Position

Strive Living Society, a non-profit, charitable organization, is looking for a Part-Time Receptionist to ensure smooth and efficient operations of our Head Office, located in Coquitlam. The successful candidate will perform a variety of administrative tasks, manage ad hoc tasks, assist in general day-to-day office administration and housekeeping, and handle special assignments as required. This role is crucial for maintaining the overall office environment and supporting the organization's mission.

Requirements

  • High School Diploma.
  • Minimum of one year receptionist or office admin related experience.
  • Excellent interpersonal and intercultural communication skills.
  • Strong administrative, analytical, research, planning, and organizational skills.
  • Ability to manage multiple concurrent projects, meet deadlines and prioritize workload.
  • Skilled at typing and document/report preparation and layout.
  • Computer skills in MS Office products specifically Word, Excel, Powerpoint, Outlook and other application software.
  • Knowledge of administrative operations and general office duties, filing and secretarial procedures.
  • Ability to act in accordance with established policies and procedures in the event of emergencies.
  • Ability to accept change and adapt to a variety of assignments.
  • Ability to work well independently and within an established team.
  • Awareness of and respect for the human rights of individuals with disabilities.
  • Command of the English language.

  • Eligibility to work in Canada
  • Class 5 BC Driver’s License and clean driver’s abstract
  • Must have a personal vehicle for work use.

Responsibilities

  • Welcoming visitors and guests as the initial point of contact, in person or remotely via digital modes of communication; answering or referring inquiries.
  • Answer multiline telephone system, respond to general enquiries, take messages, and transfer calls as appropriate.
  • Preparation and receipt of courier pick-ups and deliveries. Deliver and retrieve mail.
  • Maintain the Society database of stakeholder contacts. Update contact information on the database as needed.
  • Assist office personnel with filing, typing, label making, envelope stuffing, mail merging, photocopying, distributing memos, assembling packages of materials.
  • Maintain the telephone system, office postage machine, photocopier, printers, recycling/shredding boxes, and water cooler. Ensure service is scheduled regularly and as needed.
  • Order, inventory, and organize office supplies and equipment e.g. computers, desks, chairs, paper, toner, binders, writing utensils, cleaning supplies, bathroom supplies, etc.
  • Order, inventory, and maintain kitchen supplies e.g. paper towels and plates, disposable utensils, coffee, coffee creamer, sugar, etc.
  • Distribute bulk orders of supplies, equipment, and furniture to respective programs and worksites.
  • Circulate electronic information throughout the office and/or Society as appropriate e.g. professional development opportunities, flyers, brochures, advertisement, memos, etc.
  • Schedule boardroom and training room appointments.
  • Prepare rooms for scheduled appointments and meetings, arrange catering, room set-up and room clean-up.
  • Coordinate cleaning and maintenance with an external cleaning company. Maintain an overall clean, tidy, organized, and professional office environment.
  • Attend meetings and training as scheduled and required.
