About The Position

The Receptionist serves as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming environment. This role is responsible for managing front desk operations, handling incoming calls and correspondence, and providing administrative support to various departments. The ideal candidate is organized, customer-focused, and capable of multitasking in a fast-paced environment. Strong communication and interpersonal skills are essential to success in this role.

Requirements

  • High school diploma or equivalent; post-secondary education is an asset.
  • Previous experience as a receptionist, administrative, or customer service role.
  • Strong organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and Teams).
  • Excellent organizational skills and attention to detail.
  • Professionalism, discretion, initiative, adaptability, and ability to manage competing priorities.
  • Professional appearance and customer-focused attitude.
  • Ability to adapt and manage competing priorities.

Responsibilities

  • Greet and assist visitors, clients, and employees in a professional and courteous manner.
  • Answer, screen, and direct incoming phone calls and respond to general inquiries.
  • Manage incoming and outgoing mail, courier deliveries, and office correspondence.
  • Manage calendars, meeting rooms, and scheduling.
  • Manage office supplies, equipment, and vendor relationships.
  • Set up and tear down event spaces, including occasional after-hours support.
  • Perform general administrative duties, including filing, data entry, and record management.
  • Maintain a clean, organized, and welcoming reception area.
  • Support internal communications and announcements.
  • Coordinate corporate gifting and employee recognition.
  • Participate in workplace culture initiatives.
  • Assist with internal events and team support.
  • Ensure office and event spaces are fully operational and presentation-ready.
  • Coordinate maintenance and facility needs.
  • Other responsibilities assigned by leader.
