About The Position

The receptionist position is responsible for greeting clients, answering telephones, and maintaining daily schedules. The receptionist reports to the executive office manager. The Interpreter/Translator position requires exceptional reading and comprehension skills, excellent writing skills, and command of the English & Spanish language. The Interpreter is required to have knowledge of interpreting techniques, cultural and linguistic differences that impact effective communication, and the ability to translate documents, letters, therapeutic instructions, registration information, consents, etc. into the Target Language. Specific job responsibilities may vary from time to time. Interpreting/Translation can occur in a facility or an approved home care setting. This position reports to the designated manager on site.

Requirements

  • One year minimum of experience as receptionist in a medical setting

  • High School Diploma or equivalent
  • Graduation from an accredited college with an associate degree preferred, and one year of interpreting, or any equivalent combination of related education, training and experience

Responsibilities

  • Greet clients and provide necessary documents for completion at evaluation or therapy.
  • Check patients in the scheduler and contact necessary therapists.
  • Collect and process co-pays from clients.
  • Professionally answer and address all phone calls, redirecting them accordingly.
  • Check telephone messages for accuracy and follow up.
  • Place appointment reminder calls to patients.
  • Maintain front desk metric boards.
  • Follow opening or closing procedures for the front desk.
  • Maintain cleanliness and order in the front desk, waiting area, bathrooms, and kitchens, including stocking cards, client forms, and brochures.
  • Receive communication from Medicaid Authorization Coordinators and Patient Care Coordinators regarding Medicaid coverage and authorization status.
  • Alert Medicaid Authorization Coordinators and Patient Care Coordinators to any changes in Medicaid coverage.
  • Alert Patient Care Coordinators and Cole Financial Services to any changes in Commercial Insurance coverage or demographic information.
  • Process incoming faxes to the proper person.
  • Record client cancellations in the Raintree Scheduler and contact therapists.
  • Be knowledgeable of organization personnel, the nature of Cole Pediatric Therapy business, and locations.
  • Be knowledgeable of all emergency procedures and the location of emergency equipment, and be prepared to call 911 in an emergency.
  • Transport the emergency binder and appointment schedule out of the office during an evacuation.
  • Attend daily administrative meetings.
  • Observe patient confidentiality and follow HIPAA guidelines.
  • Advertise the Attendance Reward Program.
  • Reschedule client appointments as make-ups.
  • Assemble Client Welcome Packets (two types: Medicaid and Insurance).
  • Update and maintain the Food log and any other compliance logs.
  • Create new employee mailboxes.
  • Fax or mail reports to physician offices and parents, and track receipt of physician signatures.
  • File and scan documents.
  • Assist with training of other administrative team members as assigned.
  • Carry out any other projects assigned by the Executive Office Manager.
  • Provide accurate, high-quality interpretation services under pressure.
  • Access reference material needed to carry out interpretation duties.
  • Skillfully use specialized terminology and explain/communicate Therapeutic Procedures.
  • Translate material, either written or spoken, from one language to another.
  • Handle therapeutic documents and terminology.
  • Demonstrate efficiency and strong team spirit.
  • Command Speech, Occupational, and Physical therapy treatment terminology.
  • Maintain good inter-personal relationships.
  • Serve as administrative back up when necessary.
  • Carry out any other projects assigned by their supervisor.
