About The Position

This is a full-time 32 hours per week position with Wayne Professional Services Wayne Urology.

Requirements

  • High school diploma or equivalent required.
  • Computer skills and EHR experience; Epic preferred.
  • 1+ year receptionist experience; medical office experience preferred.
  • Excellent communication, organizational, and customer service skills.
  • Ability to manage multiple tasks in a fast-paced clinical environment.

Nice To Haves

  • Knowledge of medical terminology preferred; urology experience a plus.

Responsibilities

  • Greet patients, visitors, and vendors in a professional, courteous, and respectful manner.
  • Schedule, reschedule, and confirm office visits, procedures, diagnostic testing, and follow-up appointments according to provider guidelines.
  • Answer incoming calls and monitor voicemail messages for the practice. Accurately document and route messages to the appropriate clinical staff member or provider. Contact patients when clarification or additional information is needed.
  • Check patients in and out, verify demographic and insurance information, scan insurance cards and identification, collect copays and patient balances, and balance cash drawer according to office procedures.
  • Update patient demographic information accurately in Epic at each visit, including address, phone number, email, emergency contacts, insurance information, and preferred pharmacy.
  • Assist patients and family members with required registration and consent forms, ensuring documentation is completed and attached to the patient's medical record.
  • Process incoming and outgoing medical records requests. Document requests in the patient chart, scan appropriate documentation, and ensure timely completion.
  • Scan and index patient records and other clinical documents into the electronic medical record.
  • Verify insurance eligibility and obtain pre-authorizations or referrals as required for office visits, procedures, imaging studies, and specialty testing.
  • Schedule and coordinate urology-related diagnostic testing and procedures, including imaging studies, cystoscopy appointments, urodynamic testing, vasectomy consultations, and other provider-directed services.
  • Process medication refill requests and route requests to providers following office protocols. Accurately document medication name, dosage, quantity requested, pharmacy information, and any patient concerns or requests.
  • Process pharmacy calls regarding refill requests, prior authorizations, medication clarifications, and prescription-related questions. Document all communication accurately in the patient record.
  • Assist with prior authorization requests and supporting documentation for medications, procedures, and diagnostic testing as directed.
  • Prepare patient letters, work excuses, procedure instructions, and other correspondence as requested by providers.
  • Sort, distribute, and process incoming faxes and electronic documents. Send outgoing faxes and maintain appropriate documentation.
  • Make copies and prepare paperwork packets as needed for patients, providers, and staff.
  • Maintain standards of patient confidentiality and comply with HIPAA, organizational policies, and regulatory requirements.
  • Participate in quality improvement initiatives and assist with other front office duties as assigned.
