About The Position

This position is accountable for greeting residents, staff, and visitors in person or on the telephone, in a manner that promotes Covenant Living in a positive, professional way. Covenant Living is a faith-based Continuing Care Retirement Community (CCRC) & Home Health organization with a nationwide family of continuing care retirement communities and home health. Requirements

  • High school education or equivalent.
  • One year of secretarial training or clerical experience.
  • Highly organized, detail oriented with excellent interpersonal and communication skills both verbal and written in English.
  • Pleasant personality and telephone voice.
  • Ability to remain calm in an emergency situation.
  • Complete confidentiality when circulating general information.
  • Knowledge of computers including Microsoft Office Suite.
  • Interest in and desire to work with older adults.

Responsibilities

  • Greeting residents, staff, and visitors in person or on the telephone.
  • Answering all telephone calls quickly in a polite, personal, and friendly manner and transferring calls appropriately.
  • Taking messages when the individual requested is not available.
  • Monitoring the emergency system, directing staff to emergent situations, calling emergency personnel as appropriate, and completing resident checks.
  • Providing information to visitors and directing them to the appropriate individual, ensuring visitors/contractors sign in and wear appropriate badges.
  • Ensuring the reception desk and lobby are kept clean and organized after each shift.
  • Facilitating transportation requests, coordinating and communicating timing of transportation to residents and staff, and placing courtesy calls to residents to remind them of transportation trips.
  • Assisting residents in signing up for programs and activities and collecting payment.
  • Being knowledgeable about all office equipment, demonstrating its use to other staff, monitoring equipment, and reporting supply needs and issues to the Lead Receptionist.
  • Selling postage stamps, receiving and sorting mail, logging in packages, and informing residents/staff of packages to pick up.
  • Facilitating maintenance requests, inputting requests into the system, and communicating urgent or emergent situations to appropriate staff.
  • Completing monthly charge sheets in accordance with procedure.
  • Supporting other departments in clerical duties as assigned by the Administrative Services Coordinator.
  • Supporting the Lead Receptionist in clerical duties and maintenance of the reception area.
  • Balancing the cash register/drawer, including cash receipts and checks cashed for individuals at the desk.
