About The Position

Mercyhealth is seeking a part-time Receptionist for their optical clinic, working 24 hours per week during day shifts. This role is crucial for managing patient flow, administrative tasks, and ensuring a positive patient experience. The receptionist will be responsible for handling phone calls, greeting visitors, managing patient registration and scheduling in Epic, processing payments, and maintaining office supplies. Depending on clinic assignment, phlebotomy duties may also be required. The ideal candidate will be detail-oriented, possess excellent customer service skills, and be proficient in EMR systems, particularly Epic.

Requirements

  • High School diploma or equivalent
  • Previous medical reception experience required.
  • Internal Receptionist candidates must have at least two years’ experience in a Receptionist 1 position with Mercyhealth or be cross trained in 3 or more clinic departments/locations.

Responsibilities

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel and routes Epic Messages to nursing and provider as appropriate.
  • Retrieve messages from voice mail and forward to appropriate personnel.
  • Answer questions about organization, physicians, and available services, providing callers with address, directions, and other information as appropriate.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Monitor visitor access and issue passes when required.
  • Receive, sort, and route mail, and maintain and route publications.
  • Order, receive, and maintain office supplies.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Perform phlebotomy-specimen collection duties, depending on clinic assignment.
  • Perform other clerical duties as needed.
  • Schedule patient appointments.
  • Perform EMR-Electronic Medical Records registration -check-in processes in Epic.
  • Load, verify, and update patient demographics.
  • Scan, load, and verify insurance coverage.
  • Collect signed HIPAA and Consent for Treatment documents, update the interactive face sheet and send documents to Medical Records for scanning.
  • Review all Alerts in Epic and refer patient to a PFC when necessary.
  • Collect co-payments and other self-pay obligations when required and post in Epic when registering patient.
  • Provide patient with an estimated self-pay obligation when appropriate.
  • Perform cashiering functions/online payment posting within Epic.
  • Process payments and deposits by adhering to the system's Cash Handling Policy.
  • Complete daily closing report and balance individual cash drawer at the end of each day.
  • Perform petty cash count in and out daily and record appropriately.
  • Assist patients with MyChart signup and activation.
  • Reply to MyChart messages in a timely manner, closing messages when complete.
  • Safeguard patient privacy and confidentiality per MHS policies.
  • Prep Routes daily for upcoming appointments for frontline registration.
  • Review daily work queues and correct identified patient registration errors.
  • Utilize Epic waitlists based on provider preference.
  • Review and update no-shows and cancellations for the day.
  • Prep and Pre-register patients for upcoming appointments.
  • Process referrals and pre-certifications when required.
  • Update and maintain physician scheduling protocols.
  • Maintain an average check-in time equal to or above 50 percent of all reception partners specific to 3 of the 4 following indicators: Average Check In Time, Average Registration Time, Average Registration Time for New Patients, Average Registration Time for Existing Patients.
  • Maintain an average registration accuracy equal to or above 50 percent of all reception partners as measured by percent Workflows Without Registration Warnings.
  • Maintain an average collection of co-pays equal to or above 50 percent of all reception partners.
  • Understand and demonstrate Critical Moments of Service techniques and standards.
  • Ensure reception and lobby areas are well maintained and clean.
  • May be required to work flexible hours and overtime during peak hours.
  • Perform all other duties as assigned.
  • May assist in new partner orientation, training and mentoring.
  • Active participant in established performance improvement projects.
  • May be responsible for working in alternate locations.
