About The Position

We’re looking for a detail-oriented, people-focused Receptionist to join our dynamic legal services team. This role is far more than a front desk job—it’s a key player in creating an outstanding client experience. As the first point of contact for visitors and clients, you’ll manage front-of-house operations, ensure room scheduling runs smoothly, and help drive daily success through smart decision-making and precise coordination. Your work directly impacts the efficiency and professionalism of our services. From handling sensitive information to coordinating key logistics, you’ll be empowered to act independently while also contributing to a collaborative team environment. Lexitas is a rapidly growing national provider of legal and corporate support services, including court reporting, medical record retrieval, process service, registered agent services, and corporate filings. Requirements

  • High school diploma or equivalent required
  • 2+ years of experience in legal support services preferred
  • Strong organizational and multitasking skills in a fast-paced environment
  • A positive, client-first attitude with excellent communication skills
  • Ability to prioritize tasks and make independent decisions
  • Professional appearance and demeanor
  • Comfort working with deadlines and high-volume workflows
  • Working knowledge of Microsoft Outlook, Word, Adobe Acrobat, and internet-based tools

Nice To Haves

  • Familiarity with the deposition process is a strong plus
  • Experience in a multi-site or multi-functional environment is a bonus

Responsibilities

  • Greet and assist clients with professionalism and warmth
  • Answer and direct incoming phone calls and inquiries
  • Maintain and update the daily scheduling diary (room assignments, court reporters, and client bookings)
  • Coordinate incoming work orders, authorizations, and ensure accuracy of assignment details
  • Process and distribute documents from multiple channels (fax, email, messenger, etc.)
  • Support incoming/outgoing mail and email routing
  • Participate in employee training and cross-functional support
  • Handle confidential information in full compliance with HIPAA and internal data security protocols
  • Proactively communicate with clients, court reporters, and internal staff to ensure smooth daily operations
