DISC Surgery Center is seeking a Full time Receptionist/ Patient Services Coordinator for our West Palm Beach location. This location specializes in Spine, Orthopedic, and Pain management procedures. The Receptionist/Patient Services Coordinator serves as the first point of contact for patients, families, physicians, and visitors, creating a welcoming, professional, and patient-centered experience. This position is responsible for coordinating front office operations, ensuring the accuracy and completeness of patient medical records, preparing daily surgery charts, confirming the surgical schedule, and facilitating efficient patient registration and communication. The Receptionist/Patient Services Coordinator plays a vital role in supporting safe, high-quality patient care by maintaining confidentiality, ensuring regulatory compliance, and promoting exceptional customer service while working collaboratively with the clinical and administrative teams.

Requirements

  • Demonstrates comprehensive knowledge of patient registration, scheduling, insurance verification, admissions processes, and customer service principles. Provides a welcoming, professional, and patient-centered experience while effectively communicating with patients, families, physicians, and visitors.
  • Maintains proficiency in preparing, organizing, and managing electronic and paper medical records, ensuring all required documentation, physician orders, laboratory results, medical clearances, and consents are complete, accurate, and available to support safe patient care and regulatory compliance.
  • Demonstrates working knowledge of HIPAA Privacy and Security requirements, CMS Conditions for Coverage, accreditation standards, medical record documentation requirements, and organizational policies while maintaining strict confidentiality and protecting patient information.
  • Possesses proficiency in electronic health records (EHR), practice management software, Microsoft Office applications, medical terminology, and other business office technologies necessary to support efficient ambulatory surgery center operations.
  • Demonstrates exceptional organizational skills with the ability to prioritize multiple responsibilities, manage competing deadlines, coordinate schedules, and maintain accuracy in a fast-paced ambulatory surgery environment.
  • Communicate effectively with physicians, patients, families, vendors, leadership, and interdisciplinary team members through professional verbal and written communication while fostering collaboration, teamwork, and service excellence.
  • Applies sound judgment and critical thinking to identify issues, resolve problems, coordinate patient needs, support daily operations, and adapt to changing priorities while maintaining accuracy, professionalism, and exceptional customer service.

  • High School Diploma or GED
  • Bachelor degree in General Studies
  • 2-3 years of Receptionist/Patient services coordinator experience in acute care or surgery center

Responsibilities

  • Serve as the first point of contact for patients, physicians, visitors, and vendors by providing exceptional customer service, maintaining a professional reception area, answering incoming calls, directing inquiries, and ensuring the efficient daily operation of the front office. Retrieves mail daily, sorts it, and delivers it to the owner. Completes a deposit of all checks received. Logs deposit per center policy.
  • Coordinate the patient check-in process by verifying demographic and insurance information, obtaining required signatures, collecting copayments, preparing admission documents, and communicating patient arrival and schedule changes to the clinical team to ensure efficient patient flow.
  • Prepare, organize, and maintain complete and accurate electronic and paper medical records by obtaining physician orders, medical clearances, laboratory results, history and physical examinations, diagnostic reports, and required documentation to support regulatory compliance and safe patient care.
  • Ensure compliance with HIPAA, CMS Conditions for Coverage, accreditation standards, organizational policies, and documentation requirements by safeguarding patient confidentiality, maintaining accurate records, and supporting clinical readiness for surgery.
  • Perform assigned business office responsibilities, including medical records management, admissions, billing support, document scanning, correspondence management, inventory control, and other administrative functions necessary to support efficient center operations.
  • Maintain a welcoming, organized, and patient-centered environment by managing the reception and waiting areas, coordinating physician and vendor support, assisting visitors, maintaining office supplies, and contributing to an exceptional patient and family experience.
  • Participate in Quality Assessment and Performance Improvement (QAPI) activities, staff meetings, performance improvement initiatives, and ongoing education while collaborating effectively with physicians, clinical staff, business office personnel, and leadership to improve patient safety, quality, and operational performance.
  • Uphold the mission, values, and standards of the organization by demonstrating integrity, accountability, professionalism, fiscal responsibility, effective communication, and a commitment to continuous improvement while performing additional duties as assigned to support the success of the ambulatory surgery center.
