About The Position

Reporting into the Office Manager, the Receptionist, Office Services role works cooperatively with the Office Services team to oversee workspace bookings, assist with reception duties, maintain common areas and provide administrative support to QuadReal‘s Vancouver Corporate Head Office. As the first point of contact for visitors, clients, and colleagues, the Receptionist, Office Services acts as a brand ambassador for QuadReal, promoting the company’s values and service excellence in all interactions.

Responsibilities

  • Primary Responsibility for monitoring hot desks and creating visitor workspace bookings.
  • Provide the first point of contact for troubleshooting mobile access and booking software.
  • Reception coverage for daily lunch breaks which includes answering calls, both internal and external and directing them to the appropriate person, meeting & greeting all visitors to reception and announcing their arrival to the appropriate contact and assisting visitors as required.
  • Prepare lunchrooms, coffee stations each evening including emptying and loading dishwashers, restocking and emptying coffee machines, cleaning kitchens, moving dishware between kitchens, emptying and cleaning coffee pots.
  • Take an active role on the Joint Health and safety Team, including attending meetings, inspections, updating safety boards and preparing related documents.
  • Primary backup for processing outgoing mail, collection and distribution of incoming mail.
  • Code and process invoices for payment through Yardi accounting software.
  • Daily checks of meeting spaces to ensure the rooms are clean, tidy and in good working order, including coordinating with IT for any equipment repairs.
  • Assist office services team with planning events (annual Holiday Party, Pop-up Events, etc.).
  • Other duties as assigned.
