About The Position

Under moderate supervision, this position supports the Business Office and Child Nutrition. The primary purpose is to respond to inquiries from staff, students, parents, and the public, provide requested information and/or referral to the appropriate parties, direct visitors, and provide general clerical support for the efficient operation of the central administration office. This is a 226-day position.

Requirements

  • High school diploma or GED
  • Proficient in keyboarding, data entry, and file maintenance
  • Ability to effectively present information in one-on-one situations
  • Ability to read and comprehend verbal and written instructions
  • Three years of clerical experience in an office setting

Responsibilities

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) and respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  • Maintain visitor log and issue visitor passes.
  • Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
  • Receive deliveries and disseminate materials and information to the appropriate parties.
  • Assist public, staff, and students as needed.
  • Input accounting data into automated accounting system using personal computer. Accounting data may include but is not limited to: vendor information, accounts receivable, etc.
  • Assist and/or oversee various accounting functions, as assigned.
  • Prepare and maintain all records associated with district accounts receivable and deposits.
  • Maintain vendor files and set up new accounts when changes occur.
  • Keep informed of and comply with state and district policies and regulations concerning primary job functions.
  • Maintain computerized files using personal computer including reports, employee roster, and mailing lists.
  • Assist with preparation and distribution of materials for mailing, including preparing labels, stuffing envelopes, etc.
  • Maintain the district calendar for facilities use, the bulletin board, etc.
  • Order office supplies.
  • Maintain confidentiality.
