About The Position

Philadelphia Corporation for Aging (PCA) is seeking a full-time Receptionist for its Meal Distribution Center. Founded in 1973, PCA is a private nonprofit organization dedicated to improving the quality of life for older Philadelphians and those with disabilities. The Receptionist, under the supervision of the Meal Distribution Center Manager, will be responsible for managing incoming calls, greeting visitors, providing clerical support, and assisting with back-up functions for other roles within the center. This role is crucial in ensuring smooth operations and providing a welcoming point of contact for the Meal Distribution Center.

Requirements

  • High School diploma or GED.
  • Two years' relevant office/receptionist/secretarial experience.
  • Good communication skills.
  • Knowledge of electronic office systems, including MS Office.
  • Ability to communicate in a pleasant and courteous manner.
  • Ability to work in a high-volume, fast-paced environment.
  • Possesses good organizational skills.

Nice To Haves

  • Knowledge of Oracle preferred.

Responsibilities

  • Monitor MDC security access buzzer, greet visitors, direct them to sign in, advise staff of their arrival, and escort them if needed.
  • Answer phones in a pleasant, courteous, and professional manner, transfer calls, and handle routine inquiries related to the home-delivered meal program.
  • Review service orders for changes to meal care plans and write up order slips or cancellations.
  • Record information related to changes in consumer meal deliveries, problems, and other issues in the Meal System.
  • Coordinate and track requests for consumer meal pick-up, complete paperwork, obtain signatures, and inform production staff of required meals.
  • Receive, date stamp, and distribute incoming mail and inter-office materials; route outgoing mail and communications; photocopy and fax documents.
  • Accept delivery of small packages and equipment.
  • Copy printed materials for distribution, color-coding them by route/area, and sorting by route and delivery day.
  • Assist in reviewing redeliveries for missed meals and writing them up for the following delivery day.
  • Handle retroactive orders for consumers whose meal plans need to be activated, completing meal delivery slips as needed.
  • Perform miscellaneous clerical duties such as collating, stapling, folding, stuffing envelopes, and filing.
  • Provide back-up for dispatch in the Transportation office.
  • Provide back-up functions for the MDC Program Coordinator and Administrative Assistant in their absence, including LIFE meal consumer deliveries, dispatch, and recording meal choice orders.
  • Perform other general administrative and program duties as assigned.
