About The Position

The Receptionist is responsible for creating a positive first impression on behalf of the organization, essentially acting as the public representation of the business. The Receptionist is the first point of contact for visitors and customers, responsible for greeting visitors and customers professionally, providing initial information, directing visitors and customers to appropriate departments all while ensuring security protocols are satisfied, directing external calls, and overseeing mail sorting/processing. The Receptionist also works with departments throughout the organization to assist with distributing mail and packages, which is key to ensure the organization operates smoothly and efficiently.

Requirements

  • High school diploma
  • Basic typing/keyboarding skills
  • Basic computer skills, including the use of word processing, and e-mail.
  • Present a professional image in dealing with customers, interdepartmental and external representatives.
  • Excellent written and oral communication skills: ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
  • Ability to respond effectively to the most sensitive inquiries or customer complaints

Responsibilities

  • Creating a positive first impression on behalf of the organization, acting as the public representation of the business.
  • Directing customers and visitors to appropriate departments, ensuring security protocols are satisfied.
  • Mail sorting and processing.
  • Switch board operation.
  • Managing a clean reception desk and exhibiting a professional and businesslike appearance and demeanor.
  • Performing other duties as assigned.
  • Greeting visitors/guests and directing them to appropriate parties.
  • Receiving express mail and packages/ Legal documents/Certified mails.
  • Logging and forwarding mail/packages to the right person and receiving their signature receipt.
  • Sending packages via overnight courier or other delivery.
  • Confirming all packages are picked up and logged.
  • Managing lounge supplies, including taking control over stocked items and ordering supplies for HQ.
  • Sending USPS mails – Folding letters and stamping USPS mail.
  • Sorting incoming mail and packages, and forwarding to correct department.
  • Organizing and sorting inter-branch mail, packages, and documents.
