About The Position

General Description: This role serves as the first point of contact for the organization, answering, screening, and routing inbound calls; greeting visitors; and sorting and distributing mail. It coordinates the end-to-end onboarding experience for new hires and leads cross-functional improvements to the back-end onboarding process. The role also organizes company-wide well-being initiatives, company meetings, apparel orders and deliveries, and holiday events. Additionally, it provides administrative support to the HR team, including offboarding, ESP Program support, data entry, and document uploading and management.

Requirements

  • Associate's degree or equivalent experience (2+ years in an administrative and/or coordinator role)
  • Strong communication and interpersonal skills with a customer-service mindset
  • Excellent organization, attention to detail, and ability to manage multiple priorities and deadlines
  • Proficiency with standard office tools and comfort learning HR systems
  • Discretion in handling sensitive and confidential information
  • Event coordination experience and a continuous improvement mindset
  • Ability to collaborate effectively across teams and functions

Responsibilities

  • Answer, screen, and route all inbound calls
  • Greet and assist visitors
  • Sort and distribute mail and deliveries
  • Coordinate the end-to-end onboarding experience for new hires (scheduling, documentation, logistics)
  • Lead cross-functional enhancements for continuous improvement of back-end onboarding processes
  • Coordinate company-wide wellbeing initiatives
  • Manage ESP program (recognition, YOS, suggestion box, referrals, etc.)
  • Plan and support company-wide meetings (logistics, communications, materials)
  • Manage apparel orders and deliveries
  • Plan and support holiday events and other engagement activities
  • Provide administrative HR support, including offboarding, ESP Program support, data entry, and uploading/managing documentation
  • Maintain accuracy and confidentiality of records and information
  • Regular onsite attendance is an essential function of this position
