About The Position

The Receptionist/Front Desk position is responsible for greeting, registering, and checking out all patients at the registration area. This role involves verifying necessary information, collecting up-front payments, and ensuring a prompt, courteous, and friendly patient experience. The position requires managing patient information, handling administrative tasks, and maintaining the reception area.

  • Ability to perform under pressure and emergency conditions.
  • Mental and physical flexibility to meet the dynamic demands of the healthcare environment.
  • Decision-making capacity within the parameters of the organization’s policies/procedures and current standards of care.
  • Proficient with MS office suite.
  • Constant interpersonal skills, teamwork, customer service, reading, speaking, writing and understanding English, and problem analysis.
  • Frequent creativity, mentoring, presentations/teaching.
  • Frequent decision making and independent judgment or action.
  • Frequent keyboarding, sitting, standing, hearing and talking.

  • CMA preferred.
  • Experience with eClinical Works is a plus.

Responsibilities

  • Greet patients at each visit in a prompt, courteous, and friendly manner.
  • Obtain, enter, and review patient demographic information for completeness.
  • Distribute necessary forms to new patients, including the Notice of Privacy Practices, Patient Rights and Responsibilities, Authorization for Release of Patient Information Form, and HIV and AIDS information.
  • Collect and verify patient information such as name, address, phone numbers, date of birth, social security number, responsible party details, PCP, marital status, employer name, employee status, student status, emergency contact, insurance, and pharmacy information.
  • Obtain necessary signatures and information for UDS reports, including household and income size.
  • Take photos of patients.
  • Notify outreach worker of patients in need of assistance.
  • Verify and update patient information at each visit using the Kiosk System.
  • Read and follow all billing alerts.
  • Collect, post, and give receipts for patient payments.
  • Mark patients as arrived in the system.
  • Make return appointments and provide appointment slips.
  • Check patients out in the system.
  • Verify and update employment information, household size, and annual income once a year.
  • Update patient photos.
  • Tally copay received for the daily encounter report.
  • Balance the cash drawer, maintaining $100.00 with no overages or shortages.
  • Run end-of-day reports on the check scanner and credit card machine.
  • Lock lobby doors and turn off lights at the end of the day.
  • Keep the reception area neat and clean.
  • Schedule follow-up appointments according to clinic protocols.
  • Answer incoming calls promptly and take messages, obtaining patient's name, DOB, and phone number.
  • Distribute incoming faxes and send outgoing faxes.
  • Scan and file information into EMR.
  • Monitor the waiting room for patient movement.
  • Report problems or irregularities to the clinic manager.
  • Keep the waiting room neat and orderly.
  • Provide coverage in the absence of other employees as needed.
  • Perform other duties or assignments as requested by supervisor or management.
