About The Position

Rimland seeks a receptionist to serve as a helpful first point of contact for anyone who walks through our doors. In this position, you will lead front desk duties, general administrative tasks, and support the overall operations of our organization. Reporting to the Project Director, you will perform a variety of tasks that help us achieve our mission of supporting individuals with autism.

Requirements

  • Pass a fingerprint criminal background check
  • Pass a child abuse and neglect check
  • Pass a drug screen
  • Provide an original document (no photocopies) showing high school completion or high school equivalency. Examples include: High school diploma, GED certificate, college transcript
  • Provide residency for the past 2 years
  • Provide current & original documents that verify your identity & ability to legally work in the United States
  • Provide two verifiable employment references within the last 3 years

Nice To Haves

  • Microsoft Office experience (1+ year)
  • Customer service experience (1+ year)

Responsibilities

  • Staff our reception desk during normal business hours using excellent customer relation skills with all callers
  • Staff the Reception Area by remaining there at all times to answer the front door, take in all incoming mail, prepare and post outgoing mail, coordinate paper flow in and out of front area, and file and record incoming checks
  • Check the general voicemail box at the beginning of each day and distribute written messages to the appropriate party’s mailboxes
  • Obtain and maintain full knowledge of all office equipment including the phone system, fax machines, copy machines, and postage meter
  • Ensure proper building entrance and exit procedures for visitors
  • Guide all applicants and visitors to designated meeting areas as they arrive and notify the appropriate person of their arrival
  • Assist in maintaining maintenance spreadsheet
  • Maintain furniture inventory spreadsheet
  • Order and stock program supplies
  • Provides full-time administrative support to the administrative staff on a day-to-day basis, including typing of inter-office memoranda, letters, internal meeting notes, and reports
  • Maintain Applicant Sign-in Log, Vehicle Key Log, and Gas Card Log
  • Assist the Executive Director on all public relations and fund-raising efforts of the organization
  • Complete daily data entry for client attendance
