About The Position

Holliday Ingram is seeking a dedicated team member to join their Summerville office as a Receptionist / Closing Assistant. This temporary position is expected to last through December 2026, with the possibility of becoming permanent based on business needs and performance. The role serves as the initial point of contact for clients, guests, and vendors, while also providing administrative support for the closing process. It requires strong communication, attention to detail, and multitasking abilities in a fast-paced, client-focused setting. This blended role combines front desk duties with administrative support for real estate closings, making it ideal for someone who enjoys both client interaction and behind-the-scenes administrative tasks in a professional office environment. The ideal candidate should be organized, professional, customer-service oriented, detail-oriented, and capable of managing multiple priorities.

Requirements

  • High school diploma or equivalent required
  • 2+ years of experience in a customer service or client-facing role, preferred.
  • Attentive and proactive in predicting needs and creating solutions.
  • Excellent verbal and written communication skills.
  • Ability to remain calm and composed in stressful situations.
  • Excellent time management and organization skills.
  • Strong technical skills including managing large amounts of data, retrieving records, and managing tasks related to files.
  • Strong customer service skills.
  • Professional appearance and attitude.
  • Proficient in Microsoft Office Suite.

  • Associate degree or higher preferred.

Responsibilities

  • Greet clients in a friendly and professional manner.
  • Manage multi-line/digital phone system to answer calls and ensure they get the answer needed or directed to appropriate and responsible party.
  • Take accurate messages and forward to appropriate party.
  • Monitor conference rooms, lobby and other client spaces for cleanliness and ensure conference rooms are equipped for closings.
  • Obtain necessary documents prior to meetings and closings as needed.
  • Receive, coordinate, and deliver all mail and packages in a timely manner.
  • Call clients and agents as necessary to inform them of issues and schedule/confirm appointments.
  • Assign and open new orders received according to the process provided.
  • Order office supplies to maintain office and equipment in proper working order.
  • Manage the coordination of multiple appointments at one time to ensure privacy and to ensure that visitors are directed to the appropriate place.
  • Manage items for pick-up by clients and/or agents.
  • Gather and review documents from clients, agents and third parties to assist Closing Paralegal and Closing Attorney prepare for closing.
  • Other duties as assigned.
