About The Position

As an integral member of the team, you will be the face of the company, adding to the professionalism of the corporate office by bringing the highest level of expertise in administrative skills and demonstrating a superior level of (bilingual) customer service. The successful candidate for this position will have the opportunity to participate as part of a dynamic team that provides quality (bilingual) service to internal and external clients. They will display their customer service centric approach inherent in their day-to-day activities and will be a key contributor to the success of the office by providing excellent administrative support to all teams. We have an existing opportunity to add a Full-time Bilingual Receptionist / Administrative Support member to our team! This is an in-office position, and you must be bilingual in French and English to qualify for this role.

Responsibilities

  • Welcome visitors and clients in person in a professional and bilingual manner (French/English), five (5) days per week.
  • Answer, screen, and route phone calls.
  • Assist policyholders or suppliers visiting the office by directing them to claims adjusters or the appropriate contacts.
  • Manage parking pass issuance.
  • Book and coordinate meeting rooms.
  • Handle incoming calls for when client offices are closed (holidays or internal days).
  • Receive, verify, and acknowledge deliveries (Canada Post, couriers, suppliers, IT equipment).
  • Ensure internal distribution and notify recipients of received packages.
  • Forward deliveries intended for teams (Indemnipro, BBCG, NAU, BELL, IT, etc.).
  • Process certain inter-branch invoices (e.g., cleaning services).
  • Request police/fire reports.
  • Follow up on requests and forward received documents to claims adjusters.
  • File documents in electronic records and record appropriate notes.
  • Process ISB invoice payments via Concur.
  • Receive, open, date-stamp, and scan incoming mail.
  • Match documents with the appropriate files and add notes for adjusters.
  • Prepare and send outgoing mail (Indemnipro, BBCG, BELL, NAU), in both French and English.
  • Manage registered mail (preparation and drop-off at the post office).
  • Prepare Purolator shipments (label creation, tracking, and expense entry in Concur).
  • Prepare and distribute prepaid envelopes to internal teams and remote employees.
  • Send cheques, correspondence, and legal documents to internal teams (notably NAU and BELL).
  • Deliver cheques to policyholders, obtain required signatures, scan proof of remittance, and upload to files.
  • Scan and process documents delivered in person (invoices, legal documents, etc.).
  • Ensure documents are forwarded to adjusters and integrated into systems.
  • Perform various administrative tasks: scanning, document assembly, sending reports, etc.
