About The Position

This position is responsible for screening incoming customer calls, providing information to the public, and referring clients to appropriate agencies. The role involves instructing clients on registration processes for Supervised Visitation and Self-Represented Litigant (SRL) services. Key duties include maintaining the reception area, greeting clients, assisting with paperwork, scanning documents, monitoring behavior, managing the television, and organizing children's toys. The position also handles cancellation calls, enters events in Automon, supports caseworkers with client communication regarding cancellations and fees, and manages case closures in Automon after one year. Additionally, the role involves sending out quarterly surveys for the VOCA grant and filing certifications with the court. Harris County is an Equal Opportunity Employer.

Requirements

  • All applicants must register and take the HRT Clerical Skills Test and score a minimum of 80% with a typing speed of 50 W.P.M. and 90% accuracy.
  • High School Diploma or GED equivalent from an accredited educational institution
  • Two (2) years customer service, secretarial or receptionist experience required.
  • Bilingual English and Spanish Required.
  • Strong communication and telephone skills.
  • Good research and filing skills.
  • Proficient use of Microsoft Office applications.
  • Ability to learn and become proficient in various software and web applications.

Responsibilities

  • Screen incoming customer calls according to departmental procedures in a courteous manner.
  • Provide information to the public and refer clients to other agencies from the referral list provided.
  • Route other calls to the appropriate staff personnel in a timely manner.
  • Instruct clients on the registration process for Supervised Visitation and Self-Represented Litigant (SRL) services.
  • Maintain the reception area, including greeting clients, assisting with paperwork/applications, scanning of supporting documents, monitoring customer's/children behavior, managing the television and organizing the children's toys.
  • Receive cancellation phone calls, and other calls regarding visitation services.
  • Enter events in Automon when taking any action on a case.
  • Act as support when caseworkers are out, including calling clients about cancellations fees or intake scheduling.
  • Enter all Observation Reports on Automon in their case file when received.
  • Close files after one year in Automon and file a letter with the Court advising of closure for Administrative Hold Cases.
  • Close cases with fees due by notifying client of fees due in formal Demand letter.
  • Send out Quarterly surveys to all custodial and visiting parents for the VOCA grant.
  • File certifications and notice of completion with the court.
