About The Position

The Receptionist / Accounting Clerk provides front-office, administrative, and accounting support to help ensure the daily operations of the dealership run smoothly. This position serves as a primary point of contact for customers and assists the accounting department with a variety of clerical and transactional responsibilities. Because dealership needs and workloads may vary, this position requires flexibility, strong teamwork, and a willingness to cross-train in multiple office functions.

Responsibilities

  • Answer incoming telephone calls in a professional and courteous manner and direct calls to the appropriate department or employee.
  • Greet customers and visitors and assist or direct them as needed.
  • Maintain a professional, organized, and welcoming reception/front-office area.
  • Prepare and organize the daily bank deposit, including verifying supporting documentation and ensuring accuracy.
  • Provide backup coverage for the cashier position as needed.
  • Receive and process customer payments when providing cashier coverage.
  • Assist the accounting department with routine clerical and administrative tasks.
  • Perform data entry, filing, scanning, copying, document organization, and record maintenance.
  • Assist with processing, organizing, and verifying dealership paperwork.
  • Cross-train in various accounting and office functions to provide coverage during employee absences, vacations, high-volume periods, or other operational needs.
  • Assist other departments with administrative or clerical responsibilities when appropriate.
  • Maintain confidentiality of customer, employee, and dealership financial information.
  • Follow established dealership accounting procedures, internal controls, and company policies.
  • Communicate professionally with customers, vendors, coworkers, managers, and ownership.
  • Identify discrepancies or concerns and communicate them to the appropriate manager.
  • Perform other related administrative, accounting, cashier, and clerical duties as assigned.
