About The Position

Our Admin team is responsible for supporting our teams and delivering a world-class experience for our guests and customers. They are the first point of contact for everyone who enters our building, and they work behind the scenes to ensure all needs are handled. We are looking for an Office Assistant to sit at our reception desk as back up to our Senior Office Coordinator and help with some of the general needs that we have.

Requirements

  • Must be able to work in midtown office five days per week, 9/930a-6pm (30m-1hr lunch break)
  • Proficient in MS Suite, including Teams
  • Ability to handle a large quantity of FedEx, DHL, and UPS shipments
  • Excellent verbal and written communication skills
  • Ability to maintain professional demeanor in a fast-paced environment

Nice To Haves

  • Relevant experience preferred
  • Bilingual Spanish huge plus
  • experience with Canva and AI technology is a plus

Responsibilities

  • Package Receiving/Distribution & Mailing (back-up)
  • Answer & route phone calls (back-up)
  • Daily Showroom Management (1-2x/day)
  • Customer/Visitor Coordinating (back-up)
  • Manage guest policies
  • Coordinate room cleaning
  • Order lunches, snacks, coffees, etc.
  • Answer any inquiries
  • Order and replenish supplies
  • Complete expense reports
  • Work with the HR team to manage all new hire workstations and supplies
  • Greet new employee & bring to their desk
  • Event Help (In-office and external)
  • Light AP processing and filing
  • Ad-hoc projects as assigned
  • Coffee & lunch pick-up and deliveries
  • Light scheduling assistance
  • Personal errands
