The receiving agent is responsible for checking and receiving all goods and packages arriving to the hotel. This position also ensures that all deliveries correspond to the specifications set forth by the hotel with regards to quality, quantity, and price. The receiving agent performs their job within the timeframe and norms set forth by the Purchasing Manager, the Executive Chef, and the hotel. They receive and control all goods and products and ensure all storage rooms and coolers are secured. They properly retrieve and distribute each outlet’s requisition daily, check in all orders and deliveries, and verify the quantity, quality, weight, and overall appearance of the products are up to the hotel's standards. Products are put away in a way that they can be easily located using the FIFO (first in first out) method. Deficiencies and urgently needed items are communicated to the Purchasing Manager. The receiving agent maintains the cleanliness of all storage rooms, walk-in coolers, and freezers. Boxes are organized and put away in their place, and open boxes have their flaps cut off to portray a non-cluttered environment. They assist in performing monthly inventory, verify and log temperatures of walk-in coolers and freezers, and report problems immediately. Relevant departments are notified of the receipt of goods to arrange for collection or delivery. The receiving agent receives, logs, and distributes all FedEx and UPS packages for both residential and hotel guests, following SOP for delivering guest packages. Empty boxes and pallets are properly disposed of in the designated area, and the loading dock is maintained organized, free, and clear of any deliveries, boxes, or pallets. The receiving agent attends and completes all classes deemed necessary for the position and understands and strictly adheres to the Rules and Regulations established in the Employee Handbook and the Hotel’s policies on Fire, Grooming, Health and Safety. All potential hazards and defects are reported and rectified immediately. The receiving agent reports for their scheduled shift in proper uniform, including name tag, radio, and assigned keys. They perform any reasonable request made by department management and immediately report any challenges in completing tasks. The responsibilities of this position will be reviewed and amended as needed based on the needs of the hotel, the department, and the overall positive experience of the guest.
