About The Position

The Real Estate Transaction Coordinator will be responsible for preparing and managing real estate contracts and transaction documents, tracking critical dates and deadlines, and ensuring all required paperwork is completed and submitted on time. This role involves maintaining accurate transaction files, entering and updating property listings, organizing digital files, and verifying the accuracy of listing information. The coordinator will also send contracts and disclosures to clients, respond to inquiries, provide transaction updates, and coordinate communication between all parties involved in a transaction. Additionally, the role includes following up with team members on outstanding items, monitoring transaction progress, maintaining checklists, and providing regular status updates, as well as supporting the team with administrative tasks.

Requirements

  • Previous experience in real estate administration, transaction coordination, or administrative support.
  • Excellent organizational and time management skills.
  • Strong written and verbal English communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple transactions simultaneously.
  • Proficiency with Microsoft Office, Google Workspace, and cloud-based software.
  • Familiarity with real estate contracts and transaction processes.
  • Previous experience supporting a real estate team or brokerage.

Nice To Haves

  • Experience with MLS systems and real estate transaction management software is preferred.
  • Experience using platforms such as Dotloop, SkySlope, DocuSign, TransactionDesk, or similar tools.

Responsibilities

  • Monitor transaction progress and ensure deadlines are met.
  • Maintain checklists and provide regular status updates.
  • Support the team with administrative tasks as needed.

Benefits

  • Weeks 1–6: $4 USD/hour
  • Weeks 7–12: $5 USD/hour
  • Week 13 onwards: $6 USD/hour
