About The Position

We are seeking a detail-oriented and organized Real Estate Transaction Coordinator to manage and prepare real estate contracts and transaction documents. This role involves tracking critical dates and deadlines, ensuring timely submission of paperwork, and maintaining accurate transaction files. The coordinator will also be responsible for entering and updating property listings, organizing digital files, and verifying the accuracy of listing information. Communication is key, as the role requires sending documents to clients, responding to inquiries, providing transaction updates, and coordinating communication among all parties involved in a transaction. This position offers a structured work schedule and a progressive pay scale.

Requirements

  • Previous experience in real estate administration, transaction coordination, or administrative support.
  • Excellent organizational and time management skills.
  • Strong written and verbal English communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple transactions simultaneously.
  • Proficiency with Microsoft Office, Google Workspace, and cloud-based software.
  • Familiarity with real estate contracts and transaction processes.
  • Previous experience supporting a real estate team or brokerage.

Nice To Haves

  • Experience with MLS systems and real estate transaction management software is preferred.
  • Experience using platforms such as Dotloop, SkySlope, DocuSign, TransactionDesk, or similar tools.

Responsibilities

  • Prepare and manage real estate contracts and transaction documents.
  • Track critical contract dates and transaction deadlines.
  • Ensure all required paperwork is completed and submitted on time.
  • Maintain accurate transaction files and records.
  • Enter and update property listings in the MLS or other listing platforms.
  • Organize digital files and maintain a structured document management system.
  • Verify that listing information is accurate and complete.
  • Send contracts, disclosures, and required forms to clients.
  • Respond to client inquiries and provide transaction updates.
  • Coordinate communication between clients, agents, lenders, title companies, and other parties involved in the transaction.
  • Follow up with team members regarding outstanding documents and action items.
  • Monitor transaction progress and ensure deadlines are met.
  • Maintain checklists and provide regular status updates.
  • Support the team with administrative tasks as needed.

Benefits

  • Weeks 1–6: $4 USD/hour
  • Weeks 7–12: $5 USD/hour
  • Week 13 onwards: $6 USD/hour
